How to post a JE for Daily Sales Summary sales and tax information from another system

Hello ginotpetrocco1,

I can tell this is an important situation for you to resolve as I see you've posted about it on a few different threads. Combining the information from each of these posts, I have a sense of what's going on and can shed some light on your journal entries and sales tax concerns.

When working with journal entries in QuickBooks Online, it's important to note that there's a specific way to record the sales tax in order for them to correctly calculate to the sales tax centre. While there is a Sales Tax column on journal entries and it may be tempting to simply use that to allocate the taxes against your line items, these don't track to the Taxes tab, so if this is how your entries have been done up to this point, that's why they've not calculated there.

The way to track sales tax from journal entries to the sales tax centre is to enter it as its own debit and credit lines. When you choose sales tax accounts there, the QuickBooks will then show you tax lines in the Sales Tax column for you to map the amounts as needed. I know this can be a little complicated if you're not sure what you're doing, so I highly recommend teaming up with an accountant to work this out.

To reduce the complication of these kinds of entries, there are a few options to consider for entering your daily sales. If you'd like to create the transaction manually, I suggest starting with this article: Record your total daily sales. The article walks you through setting up accounts and recording the daily sales on a sales receipt, which will allow you to use the Sales Tax column on the form as normal so you can rest assured that it's mapping properly to your sales tax centre.

The next option is for if you're using a third-party service to collect your sales. On the one thread, I see you mentioned you're using Shopify. QuickBooks Online keeps things as simple as possible for bringing in data from other services with the ability to connect apps. In the Apps tab, you can search for Shopify and then review the results to find an app that's to your liking. Once you connect it, the app should bring in the information for you with as little work as possible. To learn more about what each app does, you can reach out to the specific support teams for the apps. When you search an app and open the details, there's an App Information column to the right with those contact details.

I'd like to circle back to my suggestion about connecting with an accountant now. Not only will they be helpful with entering your journal entries, but they'll also be able to work with you on your entries that are already in your books to make sure appropriate corrections are made. The QuickBooks Team is able to help with technical support questions, but when it comes to allocating and making corrections to your books, we leave that to the pros.

That's why QuickBooks Online has the My Accountant tab. There, you can invite someone you're already working with as a user to your books, which will give them the access and tools to help you directly on your transactions. If you're not working with an accountant yet, check out the Find a pro to help button to search our database of QuickBooks-certified accountants near you.

I know I've given you a lot to consider, but I hope it's helped. Don't hesitate if there's anything you'd like me to clarify!

It really did not help… I am the accountant on this and can make entries, the question was how to get JE’s to show in the Sales Tax summary.

As stated HST shows fine, sales show in P&L fine…

Ive included a screen shot

Thanks for clarifying your role and for the screenshot. I see that you do have the sales tax recorded and mapped as its own line on the journal entry, which is good. Having more screenshots may help with getting to the bottom of what's going on since you say it's showing in the P&L as it should and things look okay here.

Feel free to reply with more screenshots and details, or if you'd like to connect outside of the QuickBooks Community, you're welcome to send a message to one of the QuickBooks social media pages, where you can reach me and my team via private message. Here are those contact details: Social MediaFacebookTwitter, and Instagram.

If you go the social media route, that would also give me the opportunity to look up your account in our system to review what you've gone over previously with other agents. That way, you wouldn't be starting from scratch. Go with whatever option works best for you.
