I would like the option of accessing all acount data for 7 years, after terminating my quickbooks account.
Currently there are only 365 days of Read Only access.
As the CRA requires we keep all company records and accounting for 7 years, if I cancel my quickbooks, how do I maintain some kind of read only access after the 365 days have passed?
Quicbooks Support suggested I pay for 7 years if I need access - hardly seems reasonable to pay $3500 for read only access and absolutely zero usage.
Why is there no subscription model per year for read-only? something reasonable in price?
There must be a better way to handle this.

Hi yanni@kdbuilding,
It's a pleasure to see you reaching out to us here. I can see how concerning this is, when you need to keep your QuickBooks Online data for 7-years and remain in good standing with the CRA. I'd be happy to provide some insight here!
Once you cancel your QuickBooks Online account, you'll have access to your data for one year from the date of cancellation. To extend the time frame, you can simply log into your account any time before the one year period ends and reactivate your account. The subscription fee is prorated, so this provides you with a full month of usage to review your data and make any changes as you feel necessary. At the end of the month, just cancel the account. This will provide you with another full year of read-only access. Ideally, I suggest exporting your data and saving it to a file for easy access.
Feel free to reach back out if you have additional questions or concerns. We're here for you!
Thanks !
So perhaps just paying for one month (say January 2023) would give me access to another 12 months, then I can cancel. In January 2024 pay for another month then I'm good until January 2025?
etc and repeat for 7 years?
Exporting :
can you please elaborate on how to export:
- batch export all Invoices, with once button press Individually numbered ?
- batch export scanned receipts + jps receipts (uploaded via cell phone using app, or PDF upload receipts when purchasing items)?
Thank you for the quick reply
Hi yanni@kdbuilding,
You can absolutely reactivate your QuickBooks Online account to reset the date of cancellation. We understand the importance of having access to your data and that's why we provide a one year window. This provides the option to continue working on your business if you've taken a break, or have other circumstances beyond your control, without having to purchase a new account and start at the beginning. This way you can simply pick up where you left off.
Follow these steps to take a look at what you can export, (you don't need to re-subscribe to complete these steps);
1. Log into your QuickBooks Online account
2. Open your Settings ⚙ in the top right
3. Click on Export data
4. Turn on the toggle switch for the Reports
5. Hit Export to Excel
6. Open the file from the bottom of your screen to review the data
7. Click on the Lists tab and follow steps 2-6
Here's how you can export your sales receipts;
1. Open +New from the left menu
2. Select Sales receipt
3. Click on the history icon in the top left (looks like a clock)
4. Scroll down to View more
5. Click on the Export to Excel icon above the Amount column
6. Open the file from the bottom of your screen to review the data.
If at any time, you feel you'd be more comfortable having us assist you through the processes, please don't hesitate to contact us. Your success is our number one goal and we'd love to help!
Hi there,
Thanks for the details.
I was hoping to export the following
1) batch export purchase receipts with the jpg attachments so I can have a local records.
A lot of the receipts have been uploaded using the phone app when I purchase items on my credit card.
2) batch export my client invoices in PDF formal with individual numbering and one PDF per invoice
Thank you
