Can you "merge" QBO accountant firms? Our staff have made multiple and we need to combine them to share our clients.

We have had multiple staff who, in error, made their accounts outside of our firm's account, leading to them having sole access to certain clients. The result is, when they login, they have two versions of our firm show up - the correct one, and the one they created when they started. I need to correct this, but would prefer to do this internally rather than having to arrange this with clients. Is there a way to do this?

I want to help you out with merging your accounts, however, this isn't an option at the moment. Every QuickBooks Online accountant, including accountant versions has a unique account number. Merging 2 firms is not possible since they are considered separate accounts.

 

As a workaround, you can choose an account to retain, move the clients, add the team members then cancel the other account (if needed). This way, you can keep your team members and clients in one account. I will add the steps for you to follow below.

 

To add a client, follow these steps:

 

  1. On your QuickBooks Online Accountant firm, click the Clients menu.
  2. Click Add client.
  3. Set up the client then press Save.

To add the team member to the winning account, use these steps:

 

  1. Sign in to QuickBooks Online Accountant as an admin, or a user with full access permissions. Learn more about access levels for your accounting team.
  2. Go to the Team menu.
  3. Select Add user.
  4. Enter your team member's info. Then select Next.
  5. In the Access dropdown, select an access level. Then select Next.
  6. Select the clients you want your team member to have admin permissions for.
  7. When you're done, select Save.

Thanks for the response. 

 

So - in our case, our clients all have their own QBO subscription. To move the clients, if I add them in the correct accounting firm, do I just enter the email of one of the primary users of their subscription so they can grant us access (again)?

 

I am trying to avoid reaching out to each client individually to have them delete our old authorization and to invite us again.

Thanks for reaching back out.  I can see how concerning having your clients connected to different firms would be.  I'll be happy to provide more information, to help you get them under one umbrella.

 

It's great to see the wonderful advice provided by Jen_D.  In addition to that, the only way your staff would have direct access to your clients in the accounts that were set up in error, would be by client invitation.  In this situation, your staff can log into their accounts and make the clients inactive.  As the Primary Admin, they'll be able to permanently delete them.  For more information with managing clients click here.  I understand that you prefer to correct this without involving your clients, but the only other option is to have the client's log into their company account as the Primary Admin and delete the Accountant in the Manage users section.
