Deleting Multiple Item and Inventory Adjustments

We are migrating from from Quickbooks Enterprise Retail to QBO, prior to Migrating we asked about the Item List limitations of QBO. We asked this because we have closed to 70,000 Inventory Items.  We were told that QBO has no item limitation, so we ordered QBO and the Migration team started the work for Migrating.

3 Days later Migration team advised that although QBE and QBO don't have item limitations the Migration process can only Migrate 13,500...kind of wish I was told this as I'm paying for 2 products till this is solved

Onto the Problem: I have deleted as many items as possible but I'm still at 47,000+ and am stuck. 95% of  these item have an Inventory Adjustment transaction some have 5.  I have NO idea how as we've never accepted inventory for these. The only way (that I know of) to do this is one by one, I have to delete any inventory adjustments for each item and then and only them can I delete the item as we can't delete the item with an inventory adjustments.  8hrs later and 1 case of carpal tunnel syndrome later I didn't put a dent in it.

I have emailed the migration team 2x on friday, no response. Opened an online case with agent who advised wrong dept who pushed me to another dept who advised wrong dept.  Time ran out as this was near 6pm yesterday.

There has GOT to be a better way, at this rate this will take weeks not days to delete 30,000+ items each with 1-5 of it's own inventory adjustment that needs to be deleted.  Hopefully I'm just not clever and there is a better way to do this.

Who is your migration team? Afaik, Intuit Data Service doesn't offer any data conversion service. You can purchase a 3rd party conversion service to migrate the whole 7000 item lists if required.

Deleting Multiple Item and Inventory Adjustments

Hi StealthyRaptor,

Thank you for reaching out to Community and for choosing QuickBooks Online for your accounting needs, where you can perform your daily tasks from anywhere at anytime on any device.  One of the many great in product features is having the capability of importing your data with an excel spreadsheet.  Rather than deleting inventory and adjustments as you've mentioned, which is extremely time consuming given the number of items you have in stock, you can manually import your lists.  I'd be happy to steer you in that direction, so you can decide what benefits you as a valued customer.

Prior to importing your items to QuickBooks Online, you'll be able to open a sample file that guides you through your entries, including but not limited to, description, quantity on hand, income account and much more.  I recommend reviewing this so you can map your excel spreadsheet for a smooth transition.

To get started, here's how to locate the sample file for importing data:

1. Login to QuickBooks Online

2.Click on the Gear in the top right corner and select Import Data

3.Select the tile for Products and Services

4. Open the blue hyperlink to Download a Sample File

Note:  You can only import 1,000 rows at a time, so you'll need to split up your lists into smaller files.

Once you've formatted your spreadsheet, you're ready to import your products and services.  Here's how:

1. From the Gear,  select Import Data

2. Choose the tile for Products and Services

3. Click Browse and locate the file, then hit Open

4. Select Next

5. Map your information. Your Field represents the headers on your spreadsheet. From each drop-down ▼ menu, select the one that matches a field in QuickBooks Online.

6. Hit Next

7. If you have any cells highlighted in red, check the cell in your spreadsheet and try importing again

8. Choose Overwrite all values for each product or service with the same name and make sure everything looks correct.  This can't be undone

9. Select Import.

You're all set and ready to move onto the next spreadsheet to be imported!

Here's an article for your reference, with more information on how to import products and services into QuickBooks Online.

I hope this process proves to make your day a less stressful one.  Cheers!

Deleting Multiple Item and Inventory Adjustments

Trish;

thanks for your response, we actually set up a marco to run and start deleting all these items and by my calculation it should be done by Thursday morning. To be honest I can import all the items from our site to QBO so ideally I don't  even want any inventory/non-inventory items imported.

Is there a way to import everything from QBE to QBO but NOT import inventory/non-inventory items.  When I asked the team that was prepping my QBE file they said they didn't have a way but I'm assuming there must be a way to do this.

Deleting Multiple Item and Inventory Adjustments

Trish;

I was hoping you could help, our macro has run and "deleted" thousands of items. However none of them have been removed from the item listings. We still have over 48,000 items, deleting these items has done is made them inactive with a red X instead of a grey X.

In the screen shot the grey x's are items we've already inactivated and the red x's are items we've deleted, if they are deleted I'm not sure why they are still there.  Unless I'm missing something really defeats the purpose of delete.

Any insight/help?

Deleting Multiple Item and Inventory Adjustments

Hi StealthyRaptor,

Welcome back to Community for further assistance with regards to deleting your inventory items.  When you setup your Macro and the number of times to repeat the deletion process, the display will remove deleted items and they'll be replaced by the next one to be deleted.  This can be a long process and may time out or crash periodically.  You'll need to keep an eye on it and restart it from time to time as needed.  Keep in mind you won't be able to delete any items that are connected to an invoice or transaction, and this would indicate why others appear as inactive and not deleted.

In addition, you could try QuickBooks Online free for 30-days to see how importing data works and how it may benefit you.  Here's an article regarding common questions about importing data to QuickBooks Online.

Let us know if you have any other questions.  We're happy to help!

Deleting Multiple Item and Inventory Adjustments

Trish;

thanks for your input on the macro but that's the part I actually don't need any help with.  The Macro has done what it was supposed to do and has "deleted" 10's of thousands of Inventory adjustments which has allowed me to delete 10's of thousand of items.

The problem is NOT that the Macro didn't work or that QB crashed when doing it, the problem is these are now "deleted" but are still there.

When I click "List" then "Item List" and at the bottom click "include inactive" All the items I spent the last week deleting are still there.  Please click on the image I attached in my last post.  How can these be deleted but still there.

When I click F2 there are still 48,514 items...so nothing happened.  They are just inactive with a red x beside them.  This is very frustrating as we are still paying $300+/month for Quickbooks Enterprice PLUS we are already paying for QBO as we were advised that QB/Intuit would be able to Migrate our file over.

So my question there for is: why are deleted items not being deleted?  I have checked about 20+ support articles and every single one of them shows us to delete the items the exact same way that we did:

1) Click List

2) Click the item we want to delete

3) Do a "CNTRL"+"D" or right click "Delete Item"

If the item has no transactions associate with it the item is then "deleted", but at the risk of repeating myself it's obviously NOT deleting if the item count is not going down and they are all still there on the Item List with a red x vs a grey x.

PLEASE help!!

Deleting Multiple Item and Inventory Adjustments

Hi StealthyRaptor,

Successfully deleting your items and inventory adjustments seems to have become quite a timely task and I can totally understand how essential it is to get passed this.  I've reviewed the photos you've sent previously and I thank you for that.  In following with the previous advice and suggestions provided, and the fact that the macro hasn't cleared the items, I suggest getting to the root of this behavior by having a look at possible data damage and how to resolve it.  If the issue persists, you'll need to use a third party app for converting your data to QuickBooks Online.

Please reach back out if you have any other questions.  We're here to help!
