Re: How do I back up and close account?

The ability to back up QuickBooks Online company files is available for Advanced subscriptions only, RuRuRu. I'll provide more details about this.

If you have an Advanced Subscription with QuickBooks Online, you have the capability to back up your company file. I'd be delighted to guide you on how:

  1. Go to Gear icon settings.
  2. Choose Back up company.
  3. Sign in to your Intuit account, then select Authorize to proceed.

For detailed guidance, refer to this article: Back up and restore your QuickBooks Online Advanced company.

Meanwhile, we can export your QuickBooks Online data if you're using lower subscriptions to facilitate the preservation of all important information.

On the other hand, if you mean to cancel your QuickBooks Online account, it depends on where you signed up for your subscription. If you signed up through a mobile app store, you’ll need to go to your app store to cancel.

Here's the process for canceling an account purchased online directly from Intuit:

  1. Sign in to the Intuit Account Manager.
  2. Select Products & billing, then select your company name. This will take you to your subscription page.
  3. Find the product you wish to cancel, then select Cancel.
  4. Follow the on-screen steps and click Continue to cancel.
  5. You’ll see a pop-up confirming your subscription is canceled and select Got it.

Once you cancel your QBO subscription, you will only have Read-only access to your data for one year and no longer be charged.

For more details on canceling QuickBooks Online through the Apple App Store and Google Play Store, you can check out this article: Cancel your QuickBooks Online subscription or trial.

In case you'd like to resubscribe in the future, you can easily reactivate your account. We'd love to have you back!

You're always welcome to comment below if you have any questions or concerns regarding data backup or account cancellation. I'm always here to assist in any way I can.

Re: How do I back up and close account?

Hi there,

May I have the capacity to back up my company data manually after downgrading my subscription from Advanced to Essentials?

Thank you!

Re: How do I back up and close account?

Hello, Michael. You can manually export your reports and list to back up your company data in QuickBooks Essentials. Let's go over the steps to retain financial details and pass them on to your new subscription.

Online and manual backup is only available in the Advanced version. If you need to keep a copy of your data, consider accomplishing this before downgrading. Otherwise, export your reports and lists as Excel files in one zip file.

Here's how:

  1. Go to the Gear icon and select Export data in the TOOLS column.
  2. In the Reports tab, set the date from the Pre-selected date ranges ▼ dropdown.
  3. Add or remove items from the Reports and Lists tabs by turning the switch on or off.
  4. Click Export to Excel, then OK.

For instructions on transferring non-posting transactions and other information, refer to this article: Export your QuickBooks Online data.

Additionally, you can use third-party apps to back up your data in QuickBooks Online. To do so, go to the Apps menu and select Find apps to browse accordingly.

Moreover, check out this material to assist you in bringing the data in order: Common questions about importing data to QuickBooks Online.

Furthermore, import journal entries for a seamless transition to the new version while keeping historical data intact.
