QuickBooks downloads transactions up to a specific date when connecting your bank and credit card accounts. It depends on each bank; some allow downloads for the last 90 days, while others allow up to 24 months, Mnlynch.
This explains why some transactions are missing. Older or missing transactions can be downloaded as CSV files and manually imported or uploaded into QuickBooks Online. I'll share how:
First, get the transactions from your bank. Here's how:
- Sign in to your bank or credit card's website.
- Follow your bank's instructions to download CSV files of your transactions to your computer, as every institution has different steps.
- Make sure the date range for the download is at least one day before your oldest transaction.
- Download your transactions and save the file somewhere you can easily find it, like your computer's desktop.
Once you've successfully downloaded a CSV file, you can open it and check if it has the correct format before you upload it. Refer to this resource for more details: Format CSV files in Excel to get bank transactions into QuickBooks.
Next, manually upload the transactions:
- Go to the Banking menu.
- Select the blue tile for the account you want to upload the transactions.
- Click the Link account dropdown, then Upload from file.
- Hit Browse, then select the file you downloaded from your bank. Then Next.
- From the QuickBooks account dropdown, select the account you want to upload the transactions into. Then Next.
- Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks. Then Next.
- Select the transactions you would like to import. Then select Next.
- Hit Yes. When you're ready, select Let's Go.
