Hi Mary, it’s so great to see you here in the Community! I’m really glad you reached out. I understand how important it is for you to support your employees, and I’m here to help make providing payroll advances as simple and hassle-free as possible, with no deductions to worry about. Let’s tackle this together!

First, we need to create a Payroll Item List for the advance payment without tax-tracking or deductions. Please follow the steps below:

  1. Navigate to Lists, then Payroll Item List.

  2. Select New from the Payroll Item dropdown.

  5. Select None in the Tax tracking type dropdown, then click Next until the Taxes section appears.

  6. Uncheck all taxes and hit Next.

  7. Complete the required information, then select Finish.

You can now run payroll using the created payroll item for advance payment. Please note that you can use it in both the Scheduled Payroll and the Unscheduled Payroll. Before starting, we recommend consulting your accountant to ensure your records remain accurate.

If you wish to add the created payroll item to an Unscheduled Payroll, here's how you can do it:

  1. Go to Employees, select Pay Employees, then click Unscheduled Payroll.

  2. Click Start Unscheduled Payroll.
    CA DT Part 2.2.png
  3. Select an employee and hit Continue.

  4. Click on Open Pay Cheque Detail to edit the change pay cheque.
  5. Delete or remove the items in the Earnings sections and in the Other Payroll Items section.
  6. Add the created payroll item for advance payment and its rate to the Other Payroll Items section.
  7. Review the information to confirm that only the advance payment is in the pay cheque, then hit Save & Close.
  8. Once everything is in order, click Create Pay Cheques.

On the other hand, if you like to add the created payroll item to a Scheduled Payroll, here's how:

  1. Go to Employees, select Pay Employees, then click Scheduled Payroll.
  2. In the Create Pay Cheques section, select a pay schedule, then click Start Scheduled Payroll.

  3. Select an employee and click Continue.
  4. Click on Open Pay Cheque Detail to include the created payroll item.
  5. Add the created payroll item for advance payment and its rate to the Other Payroll Items section.
  6. Please review the information. Once everything is correct, hit Save & Close.
  7. Once everything is in order, click Create Pay Cheques.
