Setting up multiple codes for time allocation

Right now we are using a separate program to track how much time we spend on a certain task for each client such as year end preparation, bookkeeping, phone calls/emails, amongst others.  We use a number code system (of about 25 different codes) so if you spent 6 hours on year end preparation and 2 hours on correspondence you would use code 1 as 6 hours and code 11 for 2 hours. This is strictly for internal purposes so we can see how much time each task takes and there is no change on how much we will ultimately bill the client as we determine that based on how much total time was spent on the client at the time the invoice is prepared.  We do not bill a set amount per task.
We would really like to integrate our payroll into QBO but if we need to be able to track the time easily and have our employees be able to enter this on their own.  Is there a way to do this?

Welcome to Community!  QuickBooks Online is a dynamic software program for all of your accounting needs.  One of the great features available is having the option to turn on and set up time tracking.  I'll be glad to provide more information so you're on the right track with your work.

 

With regards to the program you're currently using, I recommend reaching out to their support team for more insight with integrating the information.  In QuickBooks Online Essentials and Plus, you can track and bill customers for the number of hours on an activity.  Once you set up time tracking you can make time billable and view time tracking reports.  Time details will automatically be applied on customer invoices and the details are up to you.  To learn more about time tracking in QuickBooks Online, click here.  You can also review this guide for getting started with QuickBooks Online Payroll.

We don't want to make any of our time billable, we just want to be able to see how much time was spent on each task type.  Is there a way to universal tasks and have the employees enter their time for a client based on how much time they spent doing each task? 

Is there a way I could try out the timesheet feature before adding it? I want to see if we can integrate what we do into the system and play around with it before we make a decision.
