We are setting up vacation pay to be paid out on each paycheck. It is the start of the year and no one has used any vacation yet. We are using Quickbooks Desktop Enterprise Contractor edition. I've gone in to the Employee Center and for each employee gone into their "Payroll Info" tab and under the "Vacation Pay" button, selected "Pay every period" and defined either 4% or 6% depending on the employee's years of service. I've then checked the individual Payroll Items that accrue vacation from the list. However, our company does not have paid sick leave and employees can take time off without pay that will effect the total hours they work in a year. We want to be sure that each employee is receiving the right total amount of vacation pay in the year that equals either 2 or 3 weeks wages. Can we define the maximum vacation hrs to be accrued per employee? And is there a way to divide that per paycheck instead of a % on the hours they actually work?

Some of the help articles reference Vacation/Sick Policies and that seems like the function we need, but we do not have that option in our Payroll & Employees-Company Preferences screen.

I appreciate you reaching out to the Community for support. At the moment there isn't an option to divide this per paycheck instead of a percentage of hours worked. I suggest submitting feedback for our developers.

Thank you for the quick reply and suggestion. I've attached a screenshot of the box that pops up when I follow the steps below. Is the box circled in red the place to enter the maximum amount? Is it possible to set an annual maximum based on hours rather than a $ amount? I want to define it by hours so that we don't have to update the maximum whenever there is a salary change throughout the year (it happens regularly because many employees are doing work/school trade programs).
I'll reply again with a second screenshot of the "Accrual Hours" box that pops up from the Payroll Info tab. Can I use that to set a maximum by hours? If I check "Reset hours each new year?", set the Accrual Period to "Beginning of year" then use the "Maximum number of hours" box will that do it?

For further assistance with setting up your vacation accrual for payroll so that all your totals and maximums are accurate, I recommend reaching out to the QuickBooks Desktop support team outside of the Community. They'll be able to assist in making sure everything is correctly set for your employee's vacation hours to be accurate. You can reach them using the methods outlined in the QuickBooks Desktop support policies.
