Bill Payment matching to Bank Record

I have an e-Transfer that shows in my Bank Feed that accounts for 5 separate bills that have been recorded with different vendors and dates (total amount matches the e-Transfer).  

 

I'm trying to match them up for payment, but the system doesn't seem to be recognizing them as reconciled.  I've tried the "Add One to QuickBooks" button on the Bank Feed screen and selecting the five invoices.  I've also trried the "Pay Bill" function from the Bill Tracker screen, but both are adding the payments to the top of the Banking Feed screen but not checking them off as reconciled or deleting the line from the bottom in the Downloaded Transaction box.  I can't use the "Match" button, as it won't let me select more than one item to match to.  

 

How do I resolve this?

I'm also having issues with Bill Payment when I have two bank records of the same value on the same day.  When I pay one of them (from the Bill Tracker screen or from the Add One to Quickbooks function of the Bank Feed screen), both of the banking records disappear, leaving me with one open bill and nothing to match it to. 

 

What do I need to do differently to get around this glitch?

And lastly, I have a situation where I have 3 banking record payments that need to be matched up to two different bills for payment.  I've tried from both the Bill Tracker screen (Pay Bill) and the Bank Feed screen (Add One to QuickBooks), to match these up. 

 

Total values match, but when I apply the appropriate amount to each bill, it takes the Downloaded Transactions from the Bank and considers them as reconciled, but leaves me with one of the bills as fully open.  It appears to pay it down (showing as a reduced open balance on the Bill Tracker screen) until the final payment is made, and then reopens the full bill with the full open balance.  

 

I have multiple Quickbooks Desktop business units and it appears to be treating this situation the same way in all of them, leaving me with a vendor open balance/invoice I know has been paid.

It seems like you've been putting a lot of time into understanding why these specific functions aren't working as expected. It's important that you're able to record transactions through the bank feeds in the way that you expect, so I want to give you a hand with this. 

 

To address your first question, I believe I have the solution. Please follow the steps below in order to match multiple QuickBooks transactions to one bank feed transaction:

 

  1. Navigate to the Banking menu and choose Use Register.
  2. Select the bank account that contains the transaction you need to match.
  3. Locate the transaction in question and check it off. 
  4. Choose the option to Add More Details from the Action column.
  5. Select all the transactions that make up this bank transaction and hit Add to QuickBooks.

 

That should resolve the first issue. Your last question seems sort of similar but with the reverse situation, where you have multiple bank records that you need to match with fewer QuickBooks transactions. This isn't an option, so the best course of action is to exclude the transactions from the bank feeds and ensure that all are recorded correclly in QuickBooks. Here's how:

 

  1. Select the Banking menu and choose Bank Feeds.
  2. Next select Bank Feeds Center.
  3. Locate the transactions in the Items Reviewed section.
  4. Choose the option to Select Items to Delete.
  5. Choose the transactions that you need to exclude.
  6. Hit Deleted Selected.
  7. Confirm that you want to delete the transactions by hitting Yes.

 

The second part of your question seems to be an issue that would require some further detail to troubleshoot. You should be able to record both transactions in the bank feed separately, but it seems that there may be a bug that's picking up both or recording both as the same transaction. Getting to the bottom of this will require Contacting Us outside of the Community. Thank you Rebecca.  I'm still working through how to apply these situations and might come back with some questions.

 

In the meantime, I was hoping you could help me with one other unique situation.  I have some vendors that issue credits or refunds to me on the credit card regularly (for example, when we return kegs, we get a deposit back).  I've opened a Credit for them under the Vendor Centre.  How do I best "match" these to the bank /credit card statement line within the Bank Feed?

I'm having trouble finding this step to delete an item:

  1. Locate the transactions in the Items Reviewed section.
  2. Choose the option to Select Items to Delete.
