Purchase orders - additional ship-to drop down option missing

Hello - I used to be able to populate multiple ship-to addresses in a purchase order, and all of a sudden I can no longer do this.

The arrow for the "add new address" field has been greyed out. How do I fix this? Any help is appreciated.

Welcome to Community!  It's important that you're able to apply multiple ship-to addresses on your QuickBooks Desktop purchase orders, when necessary.  I'd be glad to help!

 

In review of the screenshot you've provided, along with navigating in my own QuickBooks Desktop account, the reason the ship-to field is grayed out, is because the required fields are empty.  I recommend completing the Item, Description and other fields.  Once you've entered the information, you should be able to populate the list of ship-to addresses.

Hi Trish,

Thanks for your reply. Unfortunately that is not the case for us. My coworkers and I have tried multiple attempts in various supplier accounts with different information and nothing has worked. I went through our company preferences etc. trying to figure out if some mysterious box has been unchecked somewhere and I could find nothing. We all did an update about 10 days ago, I wonder if this has something to do with it.

Thanks for getting back to me.  After selecting the Vendor enter the customer name in the DROP SHIP TO field, using the ▼ dropdown menu.  This should enable the SHIP TO menu.  However, your time is valuable and I encourage you to contact us for additional assistance, if you experience the same result.

Purchase orders - additional ship-to drop down option missing

I have a similar problem, but mine is that every time I open up a purchase order there is a prefilled out company with its mailing address already populated so I have to delete it to add a new ship to address. It is not in my template, I have created a new one but when I reopen it there it is still. I am not sure how that got saved there and why I can't get rid of it. Thank you!

I too have the same issue.  Has anyone determined the fix that enables you to use the drop down and using multiple ship to addresses?

We would also like to add the drop down feature in estimates and invoices if a customer changes their mind from delivery to Pick Up.

A quick troubleshooting with the program can help fix the issue with the SHIP TO dropdown, DMCanada. I'll be pleased to walk you through the process so you can use this field and add multiple addresses.

 

Before proceeding, have you tried performing the suggested resolution mentioned above? I recommend doing so, as selecting a customer name in the DROP SHIP TO field will enable the SHIP TO dropdown.

 

If the issue persists, utilize the verify and rebuild tools in QuickBooks Desktop. These help us identify and fix any data integrity issues affecting the program's functionality.

 

Here's how to verify your data:

 

  1. Head to the Window menu and choose Close All.
  2. Click on File from the top menu, then Utilities.
  3. Select Verify Data.

 

After that, follow these steps to rebuild your company file:

 

  1. Head to the File menu, then Utilities.
  2. Select OK once asked to create a backup of your company file.
  3. Choose where you want to save your backup and click OK.
  4. Once you get the message saying "Rebuild has completed", select OK.

On the other hand, the SHIP TO dropdown is currently unavailable for invoices and estimates. Alternatively, consider using custom fields. You can then include them in the header or as part of the column for specific line items.

 

Moreover, ensure to record the inventory received after you create the purchase order and document customer payments once they settle their remaining balances.
