Hi,
I recently started paying staff through an automated funds transfer system. I love that pay stubs can be emailed directly to each staff member.
There doesn't appear to be a way to do that with bill payment stubs.
Can anyone confirm this?
Thanks
Denise
Hello again DS2020,
I love that you're exploring QuickBooks Desktop 2020's features and looking for similar ways to do things you like in one area in another. Being able to email stubs is a fast and simple way to make sure everyone has the information they need about the transactions you're entering in your books. I'll go over how the program handles Bill Payment Stubs.
Bill Payment Stubs are a perfect solution for when you want to confirm with your vendor that you've paid them. I can appreciate wanting to email them the stubs for that same ease of use that emailing pay stubs offers. In this case, there isn't a direct way to email the bill stubs like you're looking for, but I have a solution that could work for you.
In this case, you'll want to get PDF copies of the stubs from QuickBooks Desktop, which you can then email to your vendors outside of the system. Here's how you'd get the PDFs for the bill payment stubs.
This process saves the bill payment stubs as PDF copies on your system. Keep in mind if you choose several bill payment stubs that they will all be included in one single document, so it'll likely be more useful to go through the stubs and these steps per vendors rather than all of them together. Once you have the document or documents you'd like, you can then use your email outside of QuickBooks to attach and send them to your vendors.
I know this isn't quite what you were looking for, so I recommend leaving us some feedback through the Help menu and Send Feedback Online option. We love hearing the different ways we can enhance QuickBooks and knowing the features you'd like to see helps us do that. Many of today's features exist because of feedback!
Give me a shout if you have more questions or would like clarification about this. I've got you covered. :)
Thank you for this information. It was very helpful.
I am having the same issue to auto/manual send payment remittance via bill payment and also the cheque. QB should create an email option (Similar to A/R) for A/P documents as well. I realise saving to pdf is an option but it is not an efficient. Would love the email option.
Hi there Anu Verma,
I can see that automatically emailing bill payments to suppliers would be a feature that would benefit your company. It could be something that would save you time as well as help communicate to your supplier that a payment has been sent their way. I recommend leaving feedback in the system by using the steps provided by Laura in her reply in the thread. Comments made in that section are taken into consideration when designing new features for QuickBooks Desktop.
If you have any other questions, feel free to reach out here.
The way you suggested sending out the "Bill Payment Stubs" is very time consuming, especially if you are sending to 50 or more vendors, it would much more helpful and efficient to be able to send directly from QuickBooks.
I hear you on this, LWGWCD, and appreciate how the option to send this kind of information directly from QuickBooks Desktop would be ideal. If you haven't already, I recommend sharing your feedback through the steps I outlined in my original response on this thread. The more voices we add to these requests, the more we can see how a change to the existing option would benefit users across the board. Doing it through the steps I outline also ensures that our product development team sees these requests. Please don't hesitate to share your thoughts!
Hello,
I am also attempting to email a bill payment stub and when I follow these instructions, I do not see the below print window option indicated:
I am using QBDT 2019 Contractor Edition.
Hi cyncar.
Printing your bill payment stubs as a PDF is one of the ways to keep a physical copy as well as to attach to an email to print out. I'd be happy to point you in the right direction to get this printed.
When printing to PDF there are many options that may show up. Microsoft Print to PDF is just one such option. As long as you see a PDF option available you can use that to print it. If you don't see any PDF options you may either be missing the right drivers for it or they could be damaged. You can follow the steps in this article to repair your PDF drivers if they are damaged. If you don't have them installed I recommend you reach out to an IT professional or Microsoft support to help get them installed.
If you have any questions let us know and we'd be happy to help.
When will Quick Books have an update so that you can email payment stubs to vendors as you do payroll stubs to employees?
Hi mtouzeau.
Being able to send your vendors your payment stubs is a great way to show all your payments that have been made in one statement. I'd be happy to help you go over how to email payment stubs in QuickBooks Desktop.
To send a copy of your payment stubs to your vendors you'd first need to create a PDF of them. In order to do this you just need to go to: File>Print Forms>Bill Payment Stubs. Select the payment stubs you wish to print out and select your PDF printer option. This'll save a copy of the PDF to your computer which you can then just attach to an email and send. If you want to have the ability to email a payment stub directly from your QuickBooks I recommend sending feedback to our development team to let them know you'd like this feature added. You can send feedback by going to: Help>Send Feedback Online>Product Suggestions. Once they receive the feedback they'll look into ways to possibly add this feature in future updates.
If you have any questions let us know and we'd be happy to help.
Hi,
Is there a way to change the payment stub template to add logo etc as we can do with statements and invoices?
Hello Josiahfont. Glad to have you chime in on this thread. The ability to edit the payment stub similarly to how you'd edit an invoice is unavailable. I encourage you to send feedback to our engineers by clicking the Help menu and looking for Send Feedback Online. In the meantime, don't hesitate to ask other questions. I'll be a message away.
Two years later and it seems this feature has still not been implemented.
Any updates when this (or any significant usability features or enhancements) will ever be added to QuickBooks desktop? It feels like any useful QuickBooks desktop development stopped many versions ago. :(
I know right!!!! There are SO MANY features that are missing on our Version that are available in the USA version!!!! PLEASE, quickbooks, lets get some significant upgrades to our program here
If you update to 2022 Desktop Pro you can send them directly from Quickbooks after paying the vendor. However, if you bypass that screen then you have to do it manually like the other people shared.
Can you expand on what you mean that you can send the payment stubs directly after paying the vendor. Is this available in QB Enterprise?
Thanks for your interest with the features in QuickBooks Desktop, especially for bill payment stubs, @Brocsan.
We want to make sure this is taken care of for you. With regards to the features in QuickBooks Canada, we recommend contacting our Support Team for assistance. They can walk you through the available features in QuickBooks Enterprise 2022.

I am using Quickbooks Enterprise and I cannot email Bill Payment Stubs.
This is very frustrating and I think Intuit needs to get with the times and make this available as well as have a template that can be edited.
I am having this exact same issue almost three years after you posted this on the forum. It seems that QB isn't really interested in what makes the system more user-friendly for the people who actually, um, use it. This should be a no-brainer. If I can email employee paystubs, I should be able to email vendor bill payment stubs. I can't for the life of me think why this would ever be an issue nor why it would never be enabled in the first place. For what we pay monthly for a subscription, we shouldn't have to wait three years for a pretty simple request like this!
This function is not available. Not sure why you can not add 'email" functionaltiy to an upgrade. Seems like basic stuff to me!
Especially given all the price increases we have incurred as users of your software.
Hi there Filo2,
Thank you for reaching out about your bill payments. QuickBooks Desktop is a great tool able to help you keep track of bills, their payments, and credits so you know the amount owed to suppliers. I can provide some information about bill payments.
I can see that being able to email out bill payment stubs would be a feature that you'd like to see to be able to help with managing your suppliers. I recommend leaving feedback in the system by clicking on the Help button, then Submit Feedback Online. The comments made in that section are taken into consideration by our developers when designing new features for the program.
If you have any other questions, feel free to reach out here.
As of April, 2024, this is still the same - you still have to manually send email from check and click on "Email" "Bill payment stub" individually.
I recently found out something though. If I try sending the bill payment stub and generate email, then close the email window without sending, it queues in "Send Forms." I did this several times and say if I had 5 payments I made through online banking, and for these 5 payments I open the check window and try sending email (and open email window) but not sending them, they queue into "Send forms." If I see these queue in "Send Forms" screen, I can send them all in once, just like I send invoices to several customers in one click of a button. So there's got to be a way to do this in Quickbooks, maybe some additional scripts of generating bill payment email in queue, but unfortunately Intuit does not seem to be interested in making life easier for those who do accounting every day. Sad.
4 years after the initial post and still nothing!! No one sends cheques out anymore. In this digital world most companies are using online payments and not being able to email bill payment stubs directly from Quickbooks is ludicrous in this day and age. I have posted, commented, called support and every time we get the standard reply that our feedback is important but no one seems to care. Please do something about it!
