Hello sh2295,

 

The Projects feature in QuickBooks Online allows you to manage the jobs you do for specific customers in one organized location. It's a one-stop-shop to view the income and expenses, as well as other costs associated with that specific job. Being able to create an Invoice or Expense directly to the project makes your job a little easier and reduces the chance of error or of missing out on a transaction. Let me help you out with this.

 

What it sounds like to me is that you're working on a project for a customer that you've set up to pay you in USD. Your company is likely based in Canada and thus you're paying your suppliers in CAD. In this case you need to enter an Expense in CAD, but make it billable to your USD client, and attached to a specific project. Luckily, this is straightforward. Here's how you do it:

 

  1. Navigate to the Projects tab and select the project you're working on.
  2. Use the Add to project dropdown to choose Expense.
  3. Select your Payee or Supplier, and your Payment account.
  4. Fill in the Payment datePayment methodCategory, and any other relevant details. 
  5. Select the checkbox in the Billable column. 
  6. Hit Save and close when you're finished.

 

Now when you navigate to the Transactions section of your Project page, you'll see 2 new transactions. One is the Expense that you created in CAD, and the other is the Billable Expense that can be turned into an Invoice in USD. The amount is automatically converted by QuickBooks to suit the currency of the customer you're billing. 

 

When you're creating a new Billable Expense from the + New button that you want associated with a Project, you just have to ensure that you select the appropriate Customer/Project from the corresponding dropdown next to the Billable column.

Thank you for your help. I have problem with employee billable hours. My employee is getting paid on CAD. While project is on USD. So, how can I billable employee hours.

Hello sh2295,I appreciate the clarification of the information you're trying to work with in Projects and can see now why you're running into trouble with it. I can provide some insight on the interaction of time activities and projects in a foreign currency.

 

While QuickBooks Online has the ability to associate time activities to a project in a foreign currency, only hours associated to a customer or project in local currency can be made billable. To invoice your client paying you with foreign currency for your time, you can enter it in an invoice manually. There is the default product called Hours you can use to represent the number of hours you are billing. You may also want to consult with your accountant to see which way would be best to enter those invoices and time activities to properly affect your projects as well as your books in general. You can invite them by clicking on the My Accountant option in the left menu and entering their contact info. If you wish to find an accountant near you with experience with QuickBooks Online, you can click on the Find a pro to help.

 

Another option that was highlighted by Fiat Lux - ASIA would be to connect a project management app to QuickBooks Online. You can find a variety of software that can integrate with QuickBooks by navigating to the Apps section in the left column, and then viewing your options to see which one would be best suited for your business needs.

 

Submitting feedback is a way to let the developers know that this would be something that would be useful to have in future updates. You can leave a suggestion by clicking the Gear Icon and Feedback. The engineers consider this feedback when designing new features for QuickBooks Online.
