Custom Invoice Field Mapping - Invoice "Due Date"

Can anyone help me with field mapping the invoice "due date" on to a custom invoice template? This seems like it should be super simple (it is very simple when modifying a QBO standard template), but seemingly not easy when mapping to a custom invoice.


In our use case, the due date is related to the starting date of the product, not the invoice date (think college tuition is due 30 days prior to the semester start date), so all invoices have two unique dates on them.

 

When mapping the fields in the custom form upload interface there are five "date" fields, the most obvious of which is called "Due Date / Expiry Date" (presumably because it can be used on an estimate template too), but selecting this as the merge field returns no results... super frustrating, what am I doing wrong!?! The "Invoice Date" merge field works flawlessly but is not what we want to display. I guess I could use a custom field, just to get it on the invoice, but that seems like a terrible hack. Help!

The option for uploading custom-designed invoices and estimates is a fabulous way to make sure your forms look exactly as you'd like them to. I appreciate the explanation of how you're trying to map the document for your business's needs, and I want to make sure you have the answers you're looking for.

 

When you're importing custom forms, the biggest factor in these situations is how you've tagged the various sections on the document. Using the Import custom form styles for invoices or estimates article's EZ Map Fields guide, you can verify that you're using all the correct tags. When you're sure you are, the next place you'll want to check is the Master form under the Custom form styles section through the Gear icon.

 

The reason for this is although you're importing a custom style, it still pulls certain parameters from that master form. For instance, if you have the Due date or expiration date field unchecked on that form, it won't appear on your custom form either. Here's how to review that.

  1. Go to the Gear icon.
  2. Choose Custom form styles.
  3. Click Edit beside the Master form.
  4. Navigate to the Content section.
  5. Click the header section on the preview.
  6. Verify that the Due date or expiration date option is checked off in the Display section.
  7. Click Done to save.

If that doesn't do the trick, get in touch with the QuickBooks Online support team for further troubleshooting. Doing so will also allow us to double check the mapping on your file to make absolutely sure everything is in order. I'll include those details below.

 

As for the Invoice date field, it'll work based on how the field works on the built-in form styles. If that's not quite what you're looking for, considering a workaround like you've suggested with the custom fields is an option. Feel free to discuss this in more detail with support as well. With more information, we may be able to work something out.

Hi Laura, okay, so that advice was magic!  The issue was that "Due Date/Expiry Date" was not an active field on the Master form!  A simple mouse 'click' and it's all fixed.  I am sure that I must have missed that step somewhere in the documentation, but we've been using QBO and custom templates for years, just never had this consideration.  Anyway, thanks for your help... awesome!
