How can I fix the sync mistakes between RBC and QB?

So I found many entries from RBC are missing in QB (although I was told the sync issue has been fixed). How shall I fix it? Reimport the entire years data from RBC? - that's all they can offer now. Would that create troubles and duplicate entries in QB?

Thanks for reaching out here!  Missing transactions in QuickBooks Online can be concerning and affect your account balances.  I'd be glad to assist!

 

Although you can manually upload your transactions, you want to avoid duplicate entries.  In addition, it's important to note that any changes made to current transactions can have a negative impact on your books, if the account has been previously reconciled, I recommend undoing the reconciliations first.  Once you've successfully imported your transactions, you can proceed with reconciling your account in sequence.  When you're ready, follow these steps to upload your transactions in QuickBooks Online;

 

Initially, I recommend making note of the last transaction in QuickBooks Online, to prevent any duplicate entries. Follow these steps to locate the information:

 

1. From Settings ⚙ in the top right of your dashboard, select Chart of Accounts

2. Locate the account in your list and select Account History 

3. Write down the date of the Last Transaction

 

You're ready to log into your bank's website and select a date range for the transactions. Here's how;

 

1. Sign in to your bank or credit card's website.

2. Make sure the date range for the transactions according to the date of the last transaction in QuickBooks

3. Follow your bank's instructions to download your file in CSV format

4. Download your transactions and save the file where you can easily find it

5. Open and review the file to make sure it's in the correct format before you upload it.

 

Follow these steps to upload the transactions into QuickBooks Online:

 

1. Login to QuickBooks Online

2. From the Transactions menu, select the Banking tab

2. Click the blue tile for the account you're uploading the transactions into

3. Select the ▼ dropdown arrow beside Link account and then Upload from file

4. Hit Browse and select the CSV file you downloaded from your bank, then click Next

5. From the Account ▼ dropdown, choose your account and hit Next

6. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks and hit Next

7. Select the transactions to import and continue through the prompts

8. Choose Yes to continue

9. When you're ready, hit Let's go!

 

If you notice any duplicate entries, here's how to remove them:

 

1. From the Review tab, checkmark the box beside all duplicated entries

2. Select Exclude from the tab that appears

Note: To permanently delete the transactions from the Excluded tab, select all items and then hit Delete. This process is irreversible and any transactions deleted in error will need to be recreated manually.

 

You're ready to match and categorize your transactions. In addition, you can set up Bank Rules so QuickBooks will automatically categorize the transactions that will save valuable time moving forward.

How can I fix the sync mistakes between RBC and QB?

Hi Trish,

 

Thanks for your reply. However, the problem is:

 

RBC credit card (the one I am going to fix at QB) doesn't provide any QB file that is data-range customizable. In other words, I can only download ALL transaction until today into a QB file, and then upload that QB file into QB.

 

What shall I do in this case?

Thanks for getting back to me here.  When you download the file, you can remove any transactions prior to uploading it into QuickBooks Online.  This will prevent duplicate entries.  However, you'll also need to remove any blank lines or columns from the file, to ensure a smooth transition.  Once you've made the necessary changes to the file, select 'save as' and give it another name.  This will ensure your original document is also saved, should you need to refer back to it.

Thank you! Once downloaded I think it is not an excel file (should QBO or sth similar). How shall I edit this format?

Common formats for downloading transactions from your bank may include PDF, CSV, Excel, and sometimes QBO file formats.  However, when the necessary option isn't available, you can edit the format by locating the saved file, right click on it and choose Rename.  You will see a dropdown menu with a list of available formats to save the file in.

When this happens to me, I upload the pdf file to my Auto Entry account and within a few hours, I can expect to have it back in a .csv format.  Auto Entry is a relatively inexpensive solution that comes in handy when you can not import .csv formats or when you only have the paper copies of bank statements.  You still need to make sure to avoid duplicate entries by following the steps out lined in an earlier post.

Sorry I might have problem understanding the suggestions. Let me give an example which is a real case for me:

 

(1) I could download either QBO or CSV from RBC credit card account. The problem as I mentioned is, they will give you the list of all transaction without any date range.

 

(2) I don't know how to edit QBO. So it is not working for me unless you can tell me how.

 

(3) I believe I can work on CSV. But in this case, can you kindly send me any instructions on (a) how to edit CSV properly; and (2) how to upload CSV into QB bank accounts?
