Want to import lots of highly repetitive 3rd party bill info into QB where only two piece of information change from bill-to-bill
Think of a recurring subscription where the vendor & amount is always the same - but the date and invoice number change (internet bill, cellphone bill, or perhaps even something that is billed multiple times per day). Creating an Excel spreadsheet is simple and far faster than entering data manually one bill-at-a-time in QB, especially if dealing with many hundreds of days of bills.
If there is a way to do this, then I can get a team of 10 people to deal with a huge backlog of thousands of only-on-paper data that is then imported in large batches into QB.
A sample comma separated file for a hypothetical "ACE Machinery" vendor might have the following sort of data
Date Invoice # Vendor Amount Tax Total Notes
20051201 1907365 ACE Machinery $100.00 $8.00 $108.00 ring gear
20051201 1097388 ACE Machinery $120.00 $9.60 $129.60 thrust bearing
and so on
and so on
Is there a QB routine that specifies field order to a comma separated value import?
Are there any tricks to this?
Thanks
Hi there newguy21,
It's important that all your transactions are entered correctly for your books to be well balanced. QuickBooks Desktop is a great tool able to help you keep track of sales and expenses so you can see the profit of your business. I can point you in the right direction for information about importing data.
For information about importing CSV files, I recommend taking a look at this article. It has septs on the import process as well as some sample files. You can also view this article that has information about other files that can be imported and exported from QuickBooks Desktop.
If you have any other questions, feel free to reach out here.
Hi @newguy21
You could use the Batch Enter feature that is in QuickBooks Desktop - Enterprise or Accountant editions, you can normally find the Batch Enter feature under the Company menu. That supports importing Bills from Excel or CSV files if your data is in a basic flat format that matches the correct column structure then you could use that. I recorded a overview of that and all the ways you can import into QuickBooks in this YouTube movie.
Alternatively. if you are looking for something a bit more powerful which does not require a specific file format and layout then you could take a looks a third party import utility that we have written called Zed Axis you can find it in the Intuit App Marketplace.
Hope that helps.
