Hi QB Experts,
We are hoping to move from QB Desktop Pro to Online in the next while.
One question we have and can't seem to get an answer about is - can we limit a users access to in office only? We would prefer that some employees not have access to the system while out of the office.
Has anyone out there dealt with this before?
Hello NMMB,
Thanks for connecting with us here. It's exciting to learn you're looking to switch to the cloud version of QuickBooks. Rest assured, I'll be happy to share more info so you're on the right path to achieving your QuickBooks goals.
Since QuickBooks Online operates on the cloud, this means that users on the account can log into the account from anywhere using a web-browser, mobile phone, or any device that can connect to the internet and access websites. The workaround would be informing the staff members to only access and use the account while in the office. That being said, I encourage you to learn more about user roles in QB using the following article with more info about: User roles and access rights in QuickBooks Online.
Let me know if this info helps. I'll be one message away in case you have other questions.
Hi James,
Thanks for that. I figured as much. With that being said - is there a way to monitor who is accessing the account and when they are, like a User History report?
You're welcome. QuickBooks Online offers a feature called the Audit Log. This log allows you to see the changes and actions made to your account. It also shows the user that made the change. If you'd like to get a feel of QB Online, I encourage you to check out our free test drive account. This account comes pre-loaded with info and you can make changes to it without affecting any real account data. Here's a link to the test drive account. Let me know if you have other questions.
