When I import time entries from a project into an invoice for a certain month, all the entries for the month come in. Is there a way to aggregate the time entries by employee in the invoice?
For example, let's say I have:
Employee | Rate | Entry 1 | Entry 2 |
Employee A | $100/hr | Something - 1 hr | Something else - 2 hr |
Employee B | $150/hr | Something further - 3 hr | Something even further - 4 hr |
On the invoice, entries show up something like this:
Rate | Quantity | Description |
100 | 1 | Something |
100 | 2 | Something else |
150 | 3 | Something further |
150 | 4 | Something even further |
We want something like this:
Employee | Rate | Quantity |
Employee A | 100 | 3 |
Employee B | 150 | 7 |
Thank you in advance!
Hi there,
Glad to have you reach out to us here. QuickBooks is a versatile program that's designed to help you streamline your work. I'll be happy to share more info so you're on the right track.
The import function in QuickBooks is designed to upload all the info available for importing. While the option to automatically aggregate the time entries by employee during the import process, I recommend looking into third-party data migrations apps. These apps can be found on our site www.apps.com.
In the meantime, feel free to ask other questions. I'm here to help.
Thank you, James.
I forgot to mention that we are using QB Time to create the time logs. Would we still need the third-party migration app?
Hi stepping-stone,
If you use QuickBooks Time, you can simply track time to the project, and then approve and export the time to QuickBooks Online. Follow this link to Learn how to add your employees' timesheets to the project.

Hi Trish,
Yes, we're aware of that. But when we put the time in the invoice, we get every single time log entry for a certain period of time for that subcustomer/project. We want to have the invoices show the total amount of time for each employee in a certain month. Not every single thing they did in that month. Please see the example in the original post for clarity.
