Hi there,

Recording your mileage is an important step for a small business owner. It's important that you're able to claim all of your mileage related to your business when tax time arrives. I'll help you sort out the reason why your mileage may not be recorded properly.

When you're using the mileage feature, it's essential that you have your phone's data turned on at all times. The GPS tracking system works with your data. Additionally, it's important to turn on your phone's location services. This is found in your phone's settings, so the steps to turn this on will depend on which device you're using.

Make sure QuickBooks Online has permission to run in the background while your phone is using data. Depending on your device, you may have one or two settings to enable.

While battery/memory optimization settings are great for stretching battery life, memory, and data, they can make your app delay or divide trips unexpectedly when they’re activated. Each device type has different settings that optimize battery, memory, and data.

These tips should get you back on the right track for your next trip. If you still have questions or concerns about mileage and QuickBooks Online, please reach out to our tech support team

Cheers.

I have everything set on the phone. The issue I have is that the distance calculated between the starting point and end point doesn't look right. It is calculating it in miles but it is indicating being calculated in kilometers. Not sure if quickbook uses miles in its calculation even if you live in canada

I see what you're saying. The Canadian version of QuickBooks Online uses kilometers to track your mileage. If you're noticing discrepancies in the distance, I'd recommend reaching out to our tech support team. Our team can take a look at exactly how you've set up your information, and they'll be able to get this sorted out for you.

Have a great day.

Hi there, I'm trying to add vehicles from 2018 to my quickbooks, it allows me to enter them but the business kms section is grayed out to be able to enter the kms. How do you enter back dated years of kms.

Hello rwmacnamara,

Welcome, and thanks for joining us on this thread about entering trips into QuickBooks Online. I know many businesses like to have historical data in their books for a number of reasons. I like that you're also working with the Mileage feature in the program to make sure those numbers are entered. I can help you with this.

The Mileage feature is one of the newer additions to QuickBooks Online, and it gives you the opportunity to enter the kilometers for your trips and details for your vehicles. Whether you're setting up a vehicle for this year, for 2018, or even earlier, the Total business distance field is greyed out. This is because the field pulls data from the trips you've entered into the software using the Add trip button or through automatic tracking. This article goes over adding trips and includes a section about manually adding them: Automatically track mileage in QuickBooks Online

When trips are added, they can be sorted into business or personal trips, making sure that you have the details clearly organized in your books. When you enter the trips related to the vehicle, you'll see the numbers increase when you go back to the View vehicles option, including the business distance.

Given that, what you can do in this case is consider manually entering a trip for the 2018 year for that vehicle so you can see the amount of kilometers travelled in the program. When you enter a trip, it asks for a description, where you could make note that it's the total distance travelled for that year. That way, you'll know why there's one large trip logged.

I invite you to share any feedback you have about how the Mileage feature works with our product development team. On the Mileage page itself, there's a Share feedback button that you can take advantage of, or you can use these steps if you're not seeing that: How do I submit feedback? Feedback helps our team know how people are looking to use QuickBooks Online and consider changes they can make for future updates.

Don't hesitate if you have more questions.
