Letter following an invoice

If you run a service business, you can use a proposal management app to automatically send estimates with engagement letters and integrate with QBO. When your client approves, the system will send the invoice automatically.

Letter following an invoice

It's awesome to have you here in the QuickBooks community, @J-F M.

If you wish to add attachments to invoices, you'll need to ensure you have the file ready, and it should match the file type requirements. See the file types allowed for adding invoice attachments:

  • PDF
  • JPEG
  • PNG
  • DOC
  • XLSX
  • CSV
  • TIFF
  • GIF
  • XML

To append your attachments to the customer invoices, follow the steps below:

  1. On the invoice, scroll down to the Attachments box.
  2. Click the box showing Drag/Drop files here or click the icon.
  3. Pick the file from your drive then save the transaction after.
  4. Make sure to click the Attach to email option.

Once the client receive the invoice on their email, they will see the attachment above the invoice link. See this:

Refer to the steps here to learn more about this feature: Attachments in QuickBooks Online.

You can also consider Fiat Lux - ASIA's advice if you wish to have an automated way to do this.

If you have any more questions about attachments on invoices, please let me know in the comment. I'll be more than happy to share some insights about certain QuickBooks topics. Have a nice day!

Letter following an invoice

Hello Fiat Lux - ASIA,

Thank you for your reply.

My question is not about adding an estimate or converting. For an item I would like to be able to attach via a word processor more details example
1.0 title
1.1 subtitle
(text)
2.0 title
.....

Letter following an invoice

Hello Jen_D,

Thank you for your reply.

Your suggestion is a little closer to what I'm looking for.
Ideally I would like the text to be on the first page of the invoice and not on the second attachment, in order to have an example text processing
1.0 title
1.1 subtitle
(text)
2.0 title
.....

I know that we can use the Description option under item, but I find that the tool is quite limited if we have several subpoints of the hierarchical type (1.0 / 1.1 /2.0/...)

Letter following an invoice

Hi there J-F M,

The description on the invoice could be an option to add the information to the invoice, but if you need more room than what's available, then it would need to be added as an attachment. I can see how having more room on the invoice itself would be a feature you'd like to see in the software. I recommend leaving feedback in the system by clicking on the Gear Icon, then Feedback. The comments made in that section are taken into consideration when our developers design new features for QuickBooks Online.
