Scheduling invoices

We need the ability to schedule ANY invoice, not just recurring transactions. This basic function has been standard in email clients like Gmail for years. I've noticed this question raised repeatedly over the past four years without any updates to the program.

 

Another feature that users would appreciate is the ability to perform progressive invoicing with custom forms. This feature could significantly streamline invoicing processes, allowing for a 50% deposit, followed by invoicing for a 40% interim payment, and concluding with a final invoice for the remaining 10%. This could greatly improve our users' experience with QBO.

Scheduling invoices in QuickBooks (QB) can help you automate your billing process and ensure timely payments. Here’s a step-by-step guide on how to schedule invoices in QuickBooks Online:

1. Sign in to QuickBooks Online:

Go to the QuickBooks Online login page and sign in with your credentials.

2. Create a Recurring Invoice:

Navigate to the Gear icon () at the top right corner.
Select "Recurring Transactions" under the Lists column.
Click the "New" button.

3. Set Up the Invoice Template:

In the "Transaction Type" drop-down, select "Invoice."
Click "OK."

4. Enter Recurring Invoice Details:

Fill out the recurring invoice form. You will need to enter:
Template Name: Name your recurring invoice template for easy identification.
Type: Select "Scheduled" to automate the invoices.
Interval: Choose the frequency (e.g., Daily, Weekly, Monthly) and specify the start date and end date if applicable.
Customer: Select the customer to whom the invoice will be sent.
Payment Terms: Define the payment terms (e.g., Net 30, Due on receipt).
Product/Service: Add the items or services being invoiced.
Amount: Enter the amounts for the products/services.

5. Customize the Invoice:

Add any additional details, such as a message to the customer, attachments, or custom fields.

6. Save the Recurring Invoice:

Once all the details are filled out, click "Save Template."

7. Review Scheduled Invoices:

Go back to the Recurring Transactions list to see all your scheduled invoices. Here you can edit, pause, or delete any recurring templates as needed.
