Why can't I see all Active accounts in any report, including those with zero-values? There is no different between Active and Non-Zero setting - all are just non-zero...

Hi artem1,

Thanks for reaching out in the Community. I'd be happy to walk you through the customization options available in QuickBooks.

Most of main reports in QBO have the default setting which allows the number format to  "Except zero amounts". You can uncheck this option by opening one of the reports you're trying to view. Once you have the reports pulled up, click Customize > Number format > Uncheck Except zero amount. I'll attach a screenshot below for reference:

Give this a shot and let me know if it makes a difference on your end. I'll be on standby.

Why can't I see all Active accounts in any report, including those with zero-values? There is no different between Active and Non-Zero setting - all are just non-zero...

Hi James,

Thank you, but this does not resolve my issue.

The Except Zero checkbox turns on and off zero values across rows that are already visible. My issue is that my active rows (active accounts) which have no transactions associated with them do no show.

See below: first screenshot shows report that was run on ALL rows. You can see that I have an account for Sales, which has 0 values across all months. This account has no transactions. I have several other Income accounts that should appear at the top of the report, all with no transactions in them.

The second screenshot shows exactly the same report, with all the same settings, except for ACTIVE accounts. You can see that Sales account disappears, any my whole report starts with Expenses (where I do have transactions).

This sort of behaviour is what I would expect from the Non-Zero rows setting, and this is indeed what it does. However, for Active rows, I would expect to see all active accounts (i.e. those which have Active status in the Chart of Accounts), regardless of whether they have any values/transactions associated with them.

Any ideas?

Why can't I see all Active accounts in any report, including those with zero-values? There is no different between Active and Non-Zero setting - all are just non-zero...

Hi, this does not help unfortunately. The Except zero amount setting only shows/hides zeros for where there are no values in the report. It does not affect what rows are visible.

Attached screenshot demonstrates my issues. First one is of a report that is run with All rows enabled. You can see the first row (account) is Sales. This is an active account (has no "(deleted)" next to it), but has no transactions in it, and therefore shows 0 values across the months. This would be fine, however ALL rows setting also shows a bunch of inactive accounts, which I don't want to appear. I also have other Income accounts below Sales, none of which have transactions associated with them.

Second screenshot shows the same report, all same settings, except it is showing just Active rows. You can see that Sales has disappeared and the first account is now an Expense account, which does have values in it. All my Income active accounts (with no transactions in them) are now gone.

I would expect the behaviour in the second screenshot from the Non-Zero rows setting, and this is also the case. But what I want, is to see all active accounts, whether they have transactions associated with them or not (i.e. whether they have non-zero values or not).

Can I do that in QuickBooks?

It's my top priority that you can view the reports correctly, @artem1,

I've checked my resources and verified that there is an ongoing issue with the QuickBooks Online reports, but found none.

Just to clarify, is this also happening on all browsers? If not, you might want to try using an alternative browser or private window to view the P&L report. Use the following keyboard shortcuts to access a private window:

  • Google Chrome: press Ctrl Shift N
  • Mozilla Firefox: press Ctrl Shift P
  • Internet Explorer: press Ctrl Shift P
  • Safari: press Command Shift N

After doing so, clear your browser's cache to optimize its browsing performance. Accumulated cache files often cause issues on the web pages such as loading data or images. This method allows you to start QuickBooks in clean slate.

Please let me know how it goes, or if there's anything else I can do to help you out. I'm here to help you anytime. Take care.

Hi Jen,

I can confirm that this issue persists on all browsers, and on multiple computers.

Can you please post screenshots of Active Rows filter working as it should, with P&L accounts displaying zero values across columns? Then we can confirm that the issue is not with QB functionality, but somewhere on our end.

Thank you,

Artem

Thank you for the follow-up, @artem1.

I'd like to help add some details and sort this out.

In my sample company file, I've selected all active rows and columns on the Show non-zero/active only field. Next, I made sure to filter the accounts to All in the Customise Filter. This is how my Quarterly Profit and Loss Summary looks like.

If you've already selected all the active accounts for this report, but still getting this unusual behavior, I'd suggest reaching out to our Online Support for further assistance. They can dig deeper and investigate this thoroughly using their extra tools.

Why can't I see all Active accounts in any report, including those with zero-values? There is no different between Active and Non-Zero setting - all are just non-zero...

Thank you Lily. This is very strange. With all the same settings as you, I still cannot view active accounts with 0 values, having tried in both Chrome and IE on different PCs...

Myself and a colleague both contacted tech support via chat to resolve this. In both cases we were told that this features does not exist (i.e. contradicting what you have shown Lily). In my case, the support specialist took control of my PC, played with the settings, then concluded that it cannot be done. However, neither specialist could explain the difference between Active and Non-Zero settings, and it didn't feel like either really cared resolving our difficulty (sadly, this has been my experience since we signed up for QB. For e.g. the broken URL link to sync our credit card account hasn't been fixed for over 1 month. The answer is always "known issue, no timeline for resolution").

I suppose we will have to fudge this in Excel until we find a better solution...

Thank you anyway, I appreciate all the responses on here.

Best,

Artem

Thank you for staying so positive, @artem1.

I appreciate you for giving us feedback about your experience.

When customizing reports, you can specify the accounts that will be included in your reports. Let me share additional information to ensure you’re able to view active accounts with 0 values in your reports.

Here’s how:

  1. Go to the Reports menu.
  2. Choose your desired reports.
  3. Click the Customize button.
  4. In the General section, unmarked the Except zero amount tick box.
  5. Expand the Rows/Columns section.
  6. Click the Show non-zero or active only drop-down.
  7. Select All for both Show Rows and Show Columns
  8. In the Filter section, click the Distribution Account drop-down arrow.
  9. Select the accounts you want to include in the report.
  10. Click Run report

Why can't I see all Active accounts in any report, including those with zero-values? There is no different between Active and Non-Zero setting - all are just non-zero...

Thank you juVielL.

For me, if I select All rows, it doesn't matter whether I make any selection in Filter, I still get ALL rows, both with zero and non-zero values. And if I select Active rows, it doesn't matter what accounts i select in Filter, only those with non-zero balances show up.

Thank you everyone for your help, but at this point I've given up - this seemingly simple issue has taken far too much time already. We created an Excel structure that takes data from QB and filters it as we need to, and this will do until we transition to another software package.

Thanks again,

Artem

Hi Artem -- just wanted you to know that I have the identical problem. If I run with "All "Rows I end up seeing inactive/deleted accounts, which isn't what I want. It does seem simply broken.

I've also had the same problems as you've had with tech support being unhelpful. I appreciate that you went through the efforts so that I won't bother wasting my time.
