Hi bonniemac,
I'm glad to hear you're taking advantage of the Projects feature in QuickBooks Online to accurately track the profitability of each project you setup. I know how important it's to have the right customer associated with your project. I'll be happy to guide you with this.
After creating and saving a project in the program, you have the flexibility to go back and edit the Project name, its Status, Due date, and to whom it's Assigned to. You won't be able to edit the customer linked to the project. To ensure you have the correct customer in the setup, you'll have to recreate your project and select that customer before saving. In case you need to delete the previous project, here's how.
To learn more about the Projects feature and to assist you when recreating your project, here's a useful article: Set up and create projects in QuickBooks Online
I hope this helps! You're always welcome to stop by if you need anything else.
OK, so if I have to delete the project and recreate it, how do I avoid losing all the invoices, expenses, and time sheets that are already attached to the current project?
Hi again, bonniemac. Making sure you don't lose any data ensures accuracy across your books. If you have any transactions under a project that's currently linked to a wrong customer, you'd have to manually edit those transactions to change that project to the new one associated with the correct customer. Once you create the new project, it'll be available as an option under the Customer or Customer/Project dropdown in your sales and purchase forms as well as in your timesheets.
Let me know if you have more questions.
Patricia,
I wanted to make this change for many projects, so that solution is too labour intensive.
If I merged 50 different customers into one customer called XYZ, would the projects currently linked to the original customers automatically be linked to XYZ after merging?
Also, is the ability to change customers something that QBO is working on for the Project Module?
I hear you on this, bonniemac. At the moment, there isn't any option available to edit the customer linked to an existing project. Also, you have the flexibility to merge customers but those linked to projects can't be merged. I can see how having these features would have been handier for your business, and I encourage you to submit feedback directly to our engineers to share your thoughts on this. I'll also make sure to pass this on to our product development team. We're always adding new features to the program to improve your user experience, and your opinion helps a lot with that.
