We are a wholesale produce distributor starting a food safety audit for accountability. We receive product daily, and add Julian Dates to each delivery (date received) for tracking purposes. We need those dates, pulled from received product in a FIFO inventory to be added to each new invoice created. I can't find a way to add the received on date or a Julian date to received product or the subsequent invoices that are being created.
Is there a way to do this? We have QB Enterprise 2020
Hello FarmtoTable,
With the information you've given, I can see how having the received date is a an essential part of your business model. When you're dealing with produce, that definitely makes a difference and I want to ensure you're able to include the details you need for your transactions.
When you're using QuickBooks Enterprise with the Advanced Inventory feature, you have the option to choose FIFO tracking. You can learn about that here: Set up Advanced Inventory. Once you've added Advanced Inventory to your subscription and have it turned on, Enterprise tracks things like date received and cost at the time the inventory is entered in the background. With your situation, having the ability to pull that background date information forward to populate on the invoice would keep things simple when you're entering data.
That kind of feature isn't a feature that's currently available in the program, so I encourage you to leave feedback about it by going to the Help menu in QuickBooks Enterprise and choosing Send Feedback Online. You can leave product suggestions to help our developers know the sorts of features you'd like to see in the program. In the meantime, I recommend using fields like the Customer message one on invoices to share this kind of information with those receiving the transactions.
You can also consider third-party inventory management applications that connect with QuickBooks Enterprise to see if there's something there that meets all your needs. This will give you the opportunity to have the features you need while still managing your books in QuickBooks Enterprise. Here's the page where you can check out apps: Apps for QuickBooks Desktop
Don't be afraid to stop by with more questions.
You may need an inventory management app and ask the developer to modify it to meet your needs. It is possible you can downgrade to QBD Premier as a bonus.
