Email message template different for account user

I added a new user to my QBO online account with the role set to "Standard limited customers and vendors." She sent an invoice and the subject line and body was completely different than what I have set in our account. It actually said my name instead of the company name. Here's the area I'm talking about. How do I make sure all the messages she sends uses the same templates we've already set up? If she goes into her settings it says that she does not have permission to edit these. I need to know ASAP.

Hello chuck27p. It's  important you get the help you need with managing user permissions in QuickBooks. Rest assured, I'll be happy to guide you in the right direction. To get started, is the new user able to select a different template when creating a sales form as an example?

I'm pretty sure this is your "AI suggested subject" which is just terrible. Can I turn off all your AI, I don't want it messing with our accounting.

For the AI-suggested subject line, could I have you click on the Ignore option? Also, is the new user able to select a different template when creating a sales form as an example?
