How do you code an imported custom Word designed invoice to show separate Federal and Provincial (Quebec) sales taxes between the subtotal and total?

Hello ctylko,

It's great to have you with us here in the QuickBooks Online community! I love that you're looking at the option of creating your own custom form style outside of the program to import into QuickBooks. Doing this allows you to add a few more customization options to your invoices and estimates to help your business shine. I'll go over the options with you.

At this time, the sales tax coding section can only accommodate one sales tax code total. This mean there isn't currently a way to break it down to see the individual tax codes that have gone into the calculation for that amount and your federal and provincial tax amounts will be lumped into one. Even if you put two tax total coding lines, the program will simply duplicate the information rather than split it up into two amounts like you're wanting to see.

I recommend leaving feedback about this with our product developers. This is still a fairly new feature in the program and we're doing what we can to enhance it for users like you. To leave feedback, simply go to the Gear icon in your account and choose the Feedback option. These comments get forwarded to the product development team for consideration.

For your reference, here's our article about this process: Import custom form styles for invoices or estimates

I'm here if you have further questions!

Thank you Laura, much appreciated.

Ok, too bad. There seems to be an alternative way but I can’t get that to work either:

In the sample invoices that are distributed in the zip file there is a separate table at the bottom of the invoices that looks like it’s meant to detail both taxes. I imported it but can’t seem to map the fields. Maybe it’s the same issue?

That’s weird because the built-in templates (and the invoice input screen) clearly show both taxes separately.

So does this mean that none of the Canadian provinces where you have two separate taxes can use their own custom Word generated invoices?

That’s a major drawback from Desktop!

I know it can be quite the change switching from QuickBooks Desktop to QuickBooks Online, especially since QuickBooks Desktop has so many more features, including with customizing form templates. QuickBooks Online is definitely a more streamlined version of the product built for a less hands-on approach to managing your books.

You're correct that the built-in templates have the taxes separated out so you can see the individual calculations. As these are built into the program, we can better control how these work and they can be coded right into our system.

When it comes to the imported styles, we're not quite there yet. So yes, even provinces where they would have say a PST/GST rate would only show one lump amount in that section.

Without seeing which one you're looking at, it's difficult to pinpoint what you're highlighting with the sample template. It may very well be the case that it's the same sort of mapping issue, however. If you'd like someone to look over it with you, you're welcome to reach out to our support teams to have someone take a look. With screenshots or even a screen share session, we can take a look at what you're seeing and help you with moving forward. Here's how to get in touch.

Hi there,

Following up on this old thread - was support for separate Federal and Provincial tax codes for custom Word templates ever implemented? We are required by law to separate these in our invoices and this is a real limitation.

Thank you for your help!
