Hi JCI,

 

Adding custom fields on your invoices is a great way to customize your sales forms. I'd be happy to explain how you can make this happen in QuickBooks Online.

 

Here's what you'll do:

 

1. Click the Create (+) icon at the top of the account.

2. Click Invoice.

3. Once the invoice creation screen appears, click the small Gear icon at the top of the page.

4. Click Add another field.

5. Enter the name of the field you'd like to add.

 

Here's a screenshot to help guide you to the right place.

 

 

That's all there is to it. Once you set up a custom field, you can enter the necessary information on the invoice creation page. It's great that you're enjoying the default invoice template, but if you decide to add a custom template in the future, here's how to do it: Email and customize sales form.

Hi!  Thank you for your reply.

 

However, I don't have "Add another field" option, as I have used up the fields, AND even with add new fields option, the field I want does not appear where I want on the invoice.

 

Why the template doesn't have the Fax number field, while the Phone number is default in the template?  The government agents and medical offices still use Fax for communications.

I see what you're saying. Thanks for providing me with some additional information. I see why you're not able to add another custom field if you've already used all the available space. 

A good workaround in this instance would be to include your Fax number as a footer on the invoice. This will make it so that your Fax number appears at the bottom of the invoice page. To do that, click Customize at the bottom of the invoice creation screen, then select Edit Current. Click the Content tab at the top of the page, and then click on the bottom third of the sample invoice. That's where you can add a custom footer. 

 

The other option is to add your Fax number in the email you send along with your invoices. To customize your email, click the Emails tab in the customization menu. Then, enter your Fax number in the box that says Message to customer.
