Hi there,
I want to make sure you're able to edit your existing transactions with your new GST tax code. Don't worry, you've come to the right place for help.
The steps for editing your existing transactions will be different depending on whether it's an Invoice or Sales Receipt. Since Sales Receipts also account for a received payment, these will have to be deleted and re-created in order to change the associated tax code.
To delete an existing Sales Receipt, follow these steps:
1. Click the Sales tab on the left navigation menu.
2. Click All Sales.
3. Click on your Sales Receipt.
4. At the bottom of the page, click More.
5. Click Delete.
When you re-create your Sales Receipt, ensure all the information remains the same, particularly the date. Select your new Sales Tax GST.
If you need to edit invoice transactions, simply locate your invoice from the All Sales menu, and edit the tax code column manually. If your invoice has a payment attached to it already, this will have to be removed in order for the invoice to be edited.
To delete a payment on an invoice, follow these steps:
1. Click the Sales tab on the left navigation menu.
2. Select All Sales.
3. Locate your invoice and open it.
4. Click the blue link at the top of your invoice that says "1 payment made".
5. Select More at the bottom of the page.
6. Click Delete.
Once the payment is deleted, you can edit the Sales Tax selection on your invoice. Then, re-record your payment.
That's all there is to it. I hope this helps you get back on track. If you have any other questions, or if I haven't quite hit the mark in my response, please don't hesitate to reach back out.
Have a great day.
Thanks for replying. What I’m looking for is a bulk reclassification because there are eleven months of transactions. (Sorry, not enough room to post in the original post) When I try to reclassify the tax code it can’t because it says all transactions are of scope.
Sorry, meant out of scope.
I see what you're saying.
The option to reclassify transactions in bulk is available to accountant users with a QuickBooks Online Accountant account. This tool can be used through their account to reclassify multiple transactions at once for their clients (i.e. you).
If you're not already working with your accountant, you can invite them to QuickBooks Online through your account by clicking on the My Accountant tab.
If you don't currently have an accountant, find one in your area here: Find an Accountant.
Once you've connected with an accountant, here's how they'll reclassify your transactions: Reclassify or move multiple transactions at once.
I hope this helps.
Cheers.
Thanks for your response. I do have QBO accountant version. I am using reclassification from the tool box, selecting items that have GST, then reclassify and QBO says items selected have out of scope tax (which they do. Must have set all transactions to that when I set up the tax code) and as a result QBO won’t change the tax code.
I'm understanding you now.
Upon further research, I can see that since you've selected "Out of Scope" for your tax code, the Reclassify Transactions tool is telling you that you're unable to adjust the code because you've removed these transactions from hitting the tax center entirely.
In that case, you'll have to manually adjust each transaction using the method I initially provided. I know you've got quite a lot of transactions to edit, and your time is valuable.
I'm going to submit feedback about this limitation of the Reclassify Transactions tool to my engineering team. We're always looking for new ways to improve QuickBooks Online.
If you have any other questions, please let me know.
Thanks for your response. I actually didn’t select out of scope for the transactions. There was no tax option prior to me setting up the GST in tax. All transactions were then set to out of scope automatically. Thanks for escalating this for me.
