How do I change where my company file is stored? Iwant it where I can easily back it up. Thanks

Hi Jaapgk. ☺

If what you want is to change the file location, you just simply do the ff below:

  • Go to the location where your file is currently saved.
  • Right click your company file (with green icon before the name or .qbw at the end of the name) then choose Copy. (do not choose cut)
  • Go to another location (e.g desktop or new folder/ location where you want to save it) paste the company file.
  • Open QuickBooks and click on Open or restore an existing company then select Open a company file then click on Next.
  • On the next window, locate your file (with green icon before the name or .qbw at the end of the name) using the location where you paste the file.
  • Once you found it, highlight then click on Open button.
  • It will now show up the log in screen.

What do you mean by change where the company filed is stored? Stored on your hard drive or somewhere else?  Where do you want to back it up to?

If what you want is to change the file location, you just simply do the ff below:

Another procedure: 1. File > Create backup > ...follow in...

Another procedure:

1. File > Create backup > ...follow instructions....

2. File > Close company > ...follow instructions....

3. File > Restore Previous Local Backup > ...follow instructions.... > in Save Company File as select desired folder and save company file there.

BTW: instead worrying about Company files (QBW, ND, DSN and TLG) it is better to backup QBB files to an external non-internet-connected  device/location. That way you will protect yourself against HD/Motherboard failures and ransomware.

back up file

everytime i enter data ,a new back up file appears on my desk top, now I have more than 10 files on my desktop. please help

Let’s sort out why you’re seeing new backup files when entering transactions in QuickBooks.

 

Ideally, QuickBooks Desktop does not automatically create backup files when entering data. Backups are saved to your preferred location once you opt to manually create one or if you've signed up for automatic backups.

 

The automatic backups save a copy of the company after a set number of times you close the file. This feature will directly save the data entered in the company to avoid accidental loss.

This did not work for me. (QB 2018 Premier in VMWare partition). I tried to copy to desktop but Quickbooks cannot open the file. I've used the doctor app and it says nothing is wrong with QB, but I still cannot open the file in QB.

Try open a new file or the sample one. If both are failed, something wrong with your QuickBooks. Otherwise, your file may be damaged. Call and ask Intuit Data Service to fix your file for free. Another option, consider purchasing a 3rd party file repair service.

I did, and sample file will not open either. I get a different notice however.

This was a clean install, new install in Windows 10 Partition created new in VMWare specifically for Windows 10 upgrade. However, we had this problem in Windows 7 as well. I was hoping that we could move the company files to a place where daily backup was scheduled. The desktop seemed the easiest location because it was shared by both Windows and MAC 100%

To isolate the problem, open your file on trial license of 2020 version.

I am able to open other documents (Word, .pdf, Excel) in Windows 10 from desktop. It's only QB company files.
