How to Include Authorization & Reference Numbers on QBO Payment Receipts?

I recently started using QuickBooks Online's integrated payment processing tools to handle credit card transactions for my corporate customers. Many of my clients use Purchasing Cards (P-Cards) with high transaction volumes, and they require detailed credit card slips for reconciliation.

Previously, when using services like Benjipays or Moneris Virtual Gateway, I could provide receipts that included key details such as:

  • Authorization Number
  • Reference Number
  • Order ID
  • Masked Credit Card Number (last 4 digits)

Currently, QBO payment receipts do not display this information, making it difficult for my customers to reference transactions easily. In the past, I manually combined credit card slips and invoices using PDF editing software, but I was hoping QBO’s payment tools could streamline this process.

Is there a way to include these details automatically on QBO payment receipts? If not, are there any workarounds or third-party integrations that could help?

Currently, QuickBooks Online doesn't automatically show details such as the Authorization Number, Reference Number, Order ID, or the masked Credit Card Number (last 4 digits) on the payment receipts it generates.

 

Therefore, I recommend that you send feedback to our product engineering team. This specialized platform allows our developers to prioritize the features and improvements requested by our customers.

 

Here's how:

 

  1. Go to the Gear or Settings icon and select Feedback.
  2. Enter your comments or product suggestions.
  3. Click Next to submit feedback.

 

In the meantime, for enhanced payment processing and additional receipt customization options, you can integrate QuickBooks Online with a third-party app. While I cannot suggest a specific app, I'll navigate you to our App menu to find compatible options.

 

Here's how:

 

  1. Go to the Apps menu.
  2. Select Finds Apps.
  3. Search for an app on the Find Apps to streamline your work field or click Browse Category to find a suitable app that works best for you.
  4. Once you have found an app, click it and then select Get App Now.

Thank you for your response. I understand that QuickBooks Online does not currently support the automatic inclusion of details such as Authorization Number, Reference Number, Order ID, or masked Credit Card Number in payment receipts.

Given this limitation, could you please guide me on the best available workaround to manually include as much of this information as possible? Specifically:

  • Are there any fields within the payment receipt template that can be repurposed to display some of these details?
  • Can custom fields be used to manually enter this information on a per-transaction basis?

 

The use of a Third-party app is a complete pivot away from the convenience of QBO's native payment tools, we're not looking to do that.

Thank you for your follow-up questions regarding payment receipt customization in QuickBooks Online, ibpaulyb. I'll provide some clarity on this matter.

 

First, there's no option to create a template for payment receipts. For now, we can only create templates for invoices, estimates, and sales transactions.

Second, custom fields can only be used on the following transaction types:

 

  • Sales Receipt
  • Invoice
  • Estimate
  • Credit Memo
  • Refund Receipt
  • Purchase Order
  • Expense
  • Bill
  • Cheque
  • Supplier credit
  • Credit card credit

Once the payment is synced in QuickBooks Online, you can use the Memo field in the Receive Payment window to add any necessary details or notes.
