Hi there,
QuickBooks is a great program for managing your reports and making sure your books are in order. I'll be happy to help with showing you how to run a Trial Balance by month.
A trial balance report summarizes the debit and credit balances of each account on your chart of accounts during a period of time. When running this report, you can always customize the report period to have your monthly Trial Balance report. Here's how:
For more info on customizing reports in QuickBooks, check out this article here. Give this a try and if you have questions, please contact our support team using this link. Let me know if you have other questions by leaving a comment below. I'll be on standby.
Thanks but this only gives me one month - I want to see each of the 12 months in columns side by side - could do it in Desktop but not in Online - Having used Desktop for many years and just converted to Online because of working from home I am finding Online to be very limited and I wish I had not changed
I see what you mean, jcheesman. At this time, you're unable to compare each month side-by-side on your report. I'd recommend printing out each month of the report if you'd like to do a side-by-side comparison, or create a spreadsheet outside of QBO with the information generated by the report per month.
If this is something you'd like us to improve on, please don't hesitate to leave your feedback for our product development team. You can do that by clicking the Gear icon > Feedback.
Have a great day.
Is there a way for myself to customize the Trial Balance report so that it will run each month and list it onto one report?
If not I agree with everyone that this report needs to be added. So many financial reports and accounting recons depend on a month to month trial balance. Having many months helps with internal control to make sure no one went back and adjusted anything in prior months. Also this report would be extremely helpful with the year end audit.
Hi seth15c,
Being able to customize and save your reports is something we made sure to provide in QuickBooks Desktop. I'd be happy to help you save your customized report.
Sometimes the general reports don't always give you all the info you are looking for or gives you to much information. That's where customizing comes in. You can customize your reports to include information or remove information within that reports function. for example if you are looking at a sales report you can remove customers with no balance but you aren't able to add employees to the list. In order to customize a report you can follow the steps here.
Another great thing is once you customize the report you can memorize it which allows you to pull up that report with all the customized features you included. To memorize a report you can follow these steps:
If you wish to schedule a memorized report to run you can follow the steps in this article.
Should you wish to more customize features for your reports I suggest sending feedback to our developers to let them know. To leave feedback you just need to go to: Help>Send Feedback Online>Product suggestions.
Have a great day!
Clearly Nick and QB have no idea what it is you are asking. We simply want the trial balance
(dr/cr) by month for all 12 months in one report (the columns should be the end of month).
He was asking if there is a way to produce that report in quickbooks and there is not.
Hello DSabra. You're correct that there isn't a way to produce a Trial Balance report that breaks down each month side by side. As @AddieC mentioned above, an option you do have is filter each report to show one month at a time, then export them to Excel. Once exported you can manipulate the data to display in one spreadsheet. Here's how to export a report:
A file should begin downloading automatically, that you can save and manipulate as necessary. I know this might not be ideal for your business' needs, so I do want to encourage you again to submit feedback on this to our product development team. You can do that by accessing the Gear icon, then selecting Feedback. This is the best way to have your voice heard so that your input can be considered for future improvements. I'll be sure to pass along the feedback on my end as well.
Let me know if there are any other QuickBooks-related questions I can assist you with.
Hi Rebecca, I am new to Quickbooks and agree with the others in the conversation - it would be extremely useful to have a Trial Balance that compares each month side by side. Do you know if/when this improvement will be made?
Theresa
Hi there,
I can see how this would be a useful feature to help with comparing trial balances of different time periods. There is no date of when or if it will be available within Quickbooks Online, but I recommend letting the developers know you'd be interested in having this report by leaving feedback. This can be done by clicking on the Gear icon, then Feedback. Comments left in this section are taken into consideration when designing new features for QuickBooks Online.
If you have any other questions, feel free to reach out here.
I need to download the Trial Balance month by month. The problem I am having is that, even if you enter the dates e.g. 01/04/2021, it gives you the accumulative figures from 01/03/2021. So, even if you want the Trial Balance to reflect the figures for May or June, the same thing happens, it accumulates all the figures from March.
Hi accounts163. I appreciate you connecting with us here. I'll be happy to help so you can get the resolution you need in a timely manner. To get started, are you using QuickBooks Online or Desktop?
I actually use both. The reason for this is that Quickbooks online does not give me some of the Reports I need for the Auditors at the end of the year.
I see. It's vital you're able to have access to reports that are available in QB Desktop is QB Online as well. I'd highly recommend sending feedback to our engineers by clicking the Gear icon and looking for Feedback from your QB Online account. I'll be glad to answer any other questions and help make sure you achieve your QuickBooks goals.
How do you do that in desktop? I want a TB report with each month in a separate column but in one report?
How do you do this in desktop? I don't see the option to show monthly columns when I go in to customize the report.
I haven't used desktop in 18 months but it was easier to do in desktop - next time I am in my physical office I can access an old version but now working remote so using online
Hi dccblue,
Thanks for joining in on this thread! I can understand how having the ability to see additional columns for each month on the Trial Balance report would be beneficial. In QuickBooks Desktop, there are options for customizing your reports and I'd be happy to show you how this can be done!
To run a Comparative Trial Balance report, follow these steps:
From the top menu bar select Reports
Scroll down to Company and Financial and then choose the Balance Sheet Standard
Select the Date from the drop-down arrow
Customize Report > in the Columns section, display columns by hit the drop-down arrow and then Month
Click Okay
If you'd prefer to have the most current month first, click on Customize Reports > change the month to the current month.
You can also change the header on the report. Here's how:
Click on Customize Report
Select the Header/Footer tab
Edit the Report Title
When finished, hit Okay
You now have a Comparative Balance Sheet and you're ready to Memorize the report!
If you have any other questions, please don't hesitate to reach back out. We'd love to help!
You do understand the difference between a balance sheet and a trial balance correct?
That is for a balance sheet by month. I want a TRIAL BALANCE by month. Not the same thing.
Hi dccblue
Thanks for reaching back out. We understand how everyone would benefit from being able to see multiple months, side by side, on the Trial Balance. Although QuickBooks Desktop has a number of ways of customizing your reports, there's no option to add multiple columns to the Trial Balance at this time.
As mentioned above, the workaround would be to export the data to an excel spreadsheet. It definitely sounds like this option would be extremely beneficial and time saving. I suggest providing your recommendation to our Development Team by going to Help and the Send Feedback Online.
If you have any other questions or concerns, please don't hesitate to reach back out. We'd be glad to assist!
For all new readers. I wouldn't waste my time submitting this to feedback. QB online has so many limitation and there are no intentions on their part to do anything about it. I'm so disappointed with QB online. Because this is one of many limitations of really basic features. I discourage all my clients from using it. However, running a transaction detail report (data to include as much information as you'd like to see when you drill down but at minimum account, date and amount) and exporting it to excel and creating a pivot table is one of your options. Qodbc driver link to an excel spreadsheet and create a pivot off that is another. I don't know if anyone suggested this before but I thought I'd post it anyways.
Hi there,
I am trying to find the way to run the Trial Balance report in QB, BY ACCOUNT (GL account), by customized date, with a cumulative total..
For example, the bank account from 09-01-2022 - 09-30-2022 , cumulative running total.
I have played with the customize function, but it seems to only give me ALL accounts, by customized date, no running total. Is this a function within QB?
Thank you
Kate
I think you are looking for a net change for the period. If this the case you dont need the ending balance you need the total of Debits and Credits
