I run a landscape maintenance company and we bill our time per customer. (QB online, Plus subscription & payroll)
Here's what happens: We work in a garden for 6 hours. At the end of the day I write the invoice for that customer directly via the mobile app, including my time, and any plants we purchased for the client.
At the end of the week my employee fills in her time sheet, selecting the job name from the list and making it billable to that client.
This now appears as a seperate entry in that client's Account.
I can click 'Create Invoice' from that Time Activity entry, but it will make a completely new invoice.
How can I assign /add this time entry to the invoice I've already created (but not sent yet) please?
Right now my options seem to be
1. leave it sitting in the customer's account, unassigned, forever
or
2. go into the employee's Time Activity and deselect 'Billable'
Please help!
Hi fy 23179fgv,
It's great to see that you're taking advantage of the time-tracking capability of QuickBooks Online. The Time-tracking feature will allow you to attribute time to the customer or project that the employee spent on the job. I can help you with adding the billable time from your timesheets to your invoices.
To add billable time to an invoice that has already been created just follow these simple steps:
Your invoice will now include the time that you want to bill to the customer or project. This will mark the status of your timesheet as closed in your Sales Tab.
If there's anything else I can help with please let me know. Have a fabulous day!
I have similar issue, Invoice is created and sent to client before the timesheets have been entered.
I want to attach/link the billable time AFTER the fact, without changing the invoice itself.
Many of our clients get invoiced a flat rate for a job and are invoiced prior to time sheets being received by the office. However I want to link the billable time to the invoice.
Is there a way to do this?
Thank you
Li
I am seeing a recent update to the invoice interface and the arrow you refer to is missing. How do I add time to an invoice that was previously created in the new format?
Hi MillCivil,
Thanks for joining us here. Once you enter the billable time by single activity or weekly activity, you can add it to your invoice. Here's how;
1. From the left menu, select +New, then select Single time activity, or weekly time activity
2. Enter a Date
3. Choose the employee or the subcontractor whose time you are tracking, from the ▼ dropdown menu
4. Enter Cost rate (/hr)
5. Select a Customer/Project you are tracking the time for
6. Select Billable (/hr) if you want to bill your customer/project and enter the billable rate
7. Enter the Time, or select Enter Start and End Times, then select a Start time, an End time, and the time taken for a Break, if any
8. Enter a Description
9. Select any other applicable options
10. Hit Save and new to record another time entry or Save and close to exit.
Next, you'll locate the current invoice and select Edit from the Action column. When the invoice opens, the side panel will open with the billable time, and you'll select Add.
Feel free to reach out again, if you have any other questions. We would be happy to assist!
This invoice doesn't open with a side panel at all. Is there a way I can force this side panel to open to link the billable hours that I forgot to add?
Hello HRLady. Thanks for chiming in on this thread. I'll be glad to guide you in the right direction so you can achieve your QuickBooks goals with ease. To get started, could I have you try the steps you tried above using a private/incognito window. Doing this helps determine the kind of issue you're experiencing. I'll be on standby.
