Can I enter mileage from a different software report? I accidentally left off auto tracking for several months. I’m hoping to avoid needing to manually enter each trip.

I was on vacation and turned off auto tracking. I realized this several months after my trip that feature was still turned off. I have a lot of business mileage and I’m worried that I need to manually enter each drive. I have another software program that I use for scheduling and it has the schedule, not certain if I can somehow incorporate the data this way.

If you're referring to importing mileage data from another software like MileIQ, you can do so by selecting MileIQ in the Import Trips dropdown.

 

Here's the process:

 

  1. Go to the My Apps menu and select Expenses & Bills.
  2. Click on Mileage.
  3. In the Add Trip dropdown, choose Import Trip.
  4. Select MileIQ and proceed to Select and import.

On the other hand, if you're using a different software that isn't MileIQ or QuickBooks, you’ll need to first export the data from that software and then import it into QuickBooks by selecting QuickBooks in the Import Trips dropdown.

Thank you, unfortunately it’s not MileIQ. I’ll need to mess around and see if I’m able to import a data report. Sadly I think I’ll be needing to add a trip,  many trips!

Thanks for updating us, @info-sitwalkwag-. It doesn't need to be the MileIQ application to import mileage data to QuickBooks. As long as the file format is aligned to what our software requires, you can upload them in one go.

 

To acquire the correct file format that is accepted in QuickBooks, you can download your previous trip. Here's how:

 

  1. Follow steps 1 and 2 provided by my colleague above.
  2. Choose a tax year to download.
  3. Click the Add trip dropdown.
  4. Select either Download my trips or Download company trips.
  5. Open the downloaded file and remove the data without damaging the format. Then, replace it with the mileage information from your other application. Or download the trip from your third-party application and modify it based on the QuickBooks format.
  6. Once done, save it on your computer. 
  7. Go back to the Add trip dropdown and pick Import trips.
  8. Choose QuickBooks in the Import trips from field and move to Select and import.
  9. Find the mileage file you saved on your computer and click it.
  10. A prompt message will show "Import is in progress," and you will be notified via email once it is done.

 

This should have cleared your mind about importing trips that were not entered in QuickBooks. Leave a comment for additional questions.
