Bank changed online systems - now I have 2 checking accounts I can't merge

Hello and thanks in advance for any help you can provide.

I have the default checking account that was set up 2 years ago called "Business Checking"  It was connected to my bank and transactions were being downloaded and categorized as expected until my bank changed online banking software.  I followed their instructions to back up my data, disconnect the account in QBO, and reconnect it after the upgrade.  This happened back in late August.  So the "Business Checking" account in QBO has all transactions from 2020 through August of 2023.  After following their procedure, I ended up with a 2nd checking account listed in QBO called "SMALL BUSINESS CKG (0010) - 4 - 1" which continued to receive transactions (from end of August 2023 to present).

So now I have two checking accounts:

Business Checking - the default checking account with the opening balance and all transactions thru Aug 2023

SMALL BUSINESS CKG (0010) - 4 - 1 - the new account with transactions from End of Aug 2023 to present.

I would like to merge them, and I followed the help instrucitons to merge accounts, but it appears that the default account for checking is not allowed to be merged with another account because of it's special status.  How do I handle this situation?   Do I need to merge them?  The balance was not zero before I disconnected and re-connected the account.

Thanks again!

I appreciate you taking the time to thoroughly explain the issue you're experiencing with your bank accounts, MCWW. Those specifics are so helpful for troubleshooting.

When reconnecting a bank, you'll need to do it in your Chart of Accounts so it will not create a new one.

This process will ensure the integration stays on the existing account.

For the second account, you can disconnect it since you will be reconnecting the old one. Please note that this process will delete transactions that still need to be categorized in the For review tab. If the transactions are older than 90 days, you won't be able to download them into QuickBooks again.

Let me share these steps on how you can do it:

  1. Go to Transactions, then Bank Transactions.
  2. Select the tile for the bank account.
  3. Click the Pencil ✎ icon, then select Edit account info.
  4. Select the Disconnect this account on save checkbox.
  5. Choose Save and Close.

Once done, let's go to your Chart of Accounts to reconnect the existing account. Here's how:

  1. Go to the Accounting menu and select Chart of Accounts.
  2. Look for the bank account, then click the dropdown beside View register and select Connect bank.
  3. Follow the onscreen instructions to make a connection.

Please be aware that merging accounts connected to Online Banking is not possible, which is why you are unable to do it. You can manually edit the transactions to move them to the correct account and sort out the balances as well.

Here's an article about this for more details: Merge Duplicate Accounts, Customers, and Vendors in QuickBooks Online.

Never hesitate to ask follow-up questions as we sort out your online banking connections, MCWW. Smooth bank feeds integration is crucial, so I want you to feel fully supported.

Bank changed online systems - now I have 2 checking accounts I can't merge

When I go to merge it says I cannot merge two accounts which both contain online information, and it says I cannot disable Bank Feeds for this account because there are downloaded transactions that need to be added to the register. My bank was taken over, it is the same account, and it is downloading both transactions on both accounts. I just need toi merge but it will not let me.

Thanks for joining the thread, @Roxeeze1.

Before merging accounts inside QuickBooks Online (QBO), know that if both account registers contain transactions, you may need to delete the transaction with the most recent date before merging. The older transaction becomes the opening balance of the newly merged account. You can visit this page to learn more about the process: Merge duplicate accounts, customers, and vendors in QuickBooks Online.
