Hi, @judi-bosman,
I’m glad to see you here in the Community.
You can add collection notes in the Message on statement on the invoice. Let me show you how:
1. Open an Invoice.
2. Add a note on the Message on statement box at the lower-left corner of your invoice.
3. Click Save and close.
After adding notes on the invoice, you can go ahead and customize the Accounts Receivable Aging Detail Report to show the notes.
Here's how:
1. Go to Reports.
2. In the Find report by name field, search for Accounts Receivable Aging Detail Report.
3. Click on the Gear icon in the report.
4. Click Show More.
5. Put a checkmark in the Memo/Description box.
You can click Save customization to save the report and see the memo/description box going forward. Also, I've attached some articles you can use on how to add filters and export reports to Excel.
I’m just a post away if you need anything else. Have an awesome day.
Won't those notes print on a statement, if you send one to the client? Is there an option to toggle that on and off?
Thanks for bumping up in this thread, Tenacity.
The notes will still show when printing the statement. For now, there isn't an option where we can turn it off unless we are not adding notes in the invoice.
Adding an option to switch off and on the notes for the statement is ideal, especially when sending it to our customer. Please know that I am forwarding your idea to our software engineers. We might know your suggestion will be given a chance to be added in the next product updates.
You may want to check out this article. It talks about overview and how to use the statement.
Let me know if you more something to ask or need further assistance. Thanks!
This would be supremely helpful to be able to add internal notes that the client cannot see. For instance, if I send a reminder email, that is not noted anywhere in the invoice timeline, so I make notes on a notepad.
Also, if we want to contact a client for an update and want to keep those notes, there is no where to do it. It seems as simple as have an "Internal Notes" box like the "Message on Invoice" box on the invoice layout, AND it needs to be printable on reports such as the Open Invoices report.
