Custom Reports are not sending all data to pdf or Excel.

Hi there, phyl.

Let me share some troubleshooting steps to fix the issue so you can successfully export the data of your custom reports in QuickBooks.

In this case, you'll need to review the custom reports and ensure there are transactions or data on the report.

If the report has all the information needed for export but you can't see it when you export to PDF and Excel. Then, the issue you encountered may be due to a browser cache-related issue. Let's perform the basic browser troubleshooting steps to isolate the issue. It also helps to improve and speed up your browser's performance.

First, you'll want to restart your browser. Then, try exporting the custom reports in a private browser. You can use these keyboard shortcuts to launch a new private window:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N

If you can see the data when you export the report as PDF or Excel on the private browser, go back to the regular browser and clear your browser's cache. Otherwise, you can use another supported browser.

Additionally, you can check the following articles for further details on handling reports and other data in QuickBooks:

Keep me posted if you have clarification or additional queries. I'll be happy to assist you.

Custom Reports are not sending all data to pdf or Excel.

First of all, this is not a browser issue as I'm using the desktop app for Mac.  However to confirm this multiple different ways, I tried this with both Chrome, Chrome Incognito and Brave browsers.  Nothing worked.  The same behavior was observed with reports that were created and sent via the Workflows.  There is NO WAY my browser has anything to do with reports getting sent thru a Workflow because all of that is generated and emailed from Intuits servers.

Your other other suggestion to run reports via the Settings does not help because that only exports reports that are utilizing the old style reports, none of the new custom reports.

I was able to determine that if my report contains ANY accounts that do not have data for the month, they will will not export to either Excel or PDF.  This IS SOMETHING WITHIN INTUITS system.  This is NOT something with my browser.  The data shows exactly as it should on my screen, complete with an account with no data.  But if I try to export it, it only shows the name of the account and the balance for everything included in the report.

Custom Reports are not sending all data to pdf or Excel.

I spent 2 hours on the phone with support yesterday.  I do not have time for that again.  This is an issue within QBO - not on my side.  You do not need me on the phone to troubleshoot this.

Please pass the information I have shared to the proper people within QBO.  If someone would test this out instead of sending me to links that have nothing to do with what I am trying to do, I feel confident you would see this is an issue.
