downloaded transactions

I "upgraded" to Quickbooks MacPlus 2022 and so far "upgrade" is not the correct term. I feel like I went backwards with so many functions.  Here's my most pressing issues:

When in the Downloaded Transaction feature, after the transactions are important from bank/credit cards...

1. How to I avoid the more than 2 seconds it takes for the software to recognize a new Payee name?  The older version was instantaneous. 

2. When selecting an Account for a transaction, how to do view only the sub-accounts of the main account I begin to type? It seems that I must now scroll through ALL of my accounts in order to find the a sub account. The old version would show the sub accounts of a main account name, thereby saving a tremendous about of time and effort. 

3.  How can avoid the software crashing every time I attempt to "download" transactions?

 

In summary, this "updated" version is essentially DOUBLING the amount of time I must spend on my bookkeeping and it's so frustrating!!!

This isn't the experience I want you to have with QuickBooks Desktop (QBDT) for Mac, @gina8.

 

I'll provide some information on how we can work around this issue and smoothly categorize your download transactions.

 

I recommend closing and reopening your QBDT for Mac to refresh and optimize the program.

 

If this is not the case, I suggest running the Verify and Rebuild tool. This scans your file for potential errors and quickly fixes them.

 

After that, you can easily categorize your download transactions. In terms of selecting an account for your transactions, I recommend providing feedback to our Development team. They are always open to suggestions as this helps us improve QuickBooks to better serve you.

 

  1. Go to the QuickBooks menu in your QBDT for Mac.
  2. Select Preferences.
  3. On the Preferences pane, select Feedback
  4. Click the Enable sending usage data to Intuit check box. The preference is enabled by default. 
  5. Then close the Preferences window.

 

In the meantime, you'll need to enter the name of the account to which you want to attach your transaction when categorizing it. I got this article that can aid you through the process: Add and match transactions in QuickBooks Desktop for Mac.

 

You might also want to check page 171 in this resource for future reference: QuickBooks Desktop Mac User's Guide. It includes information on effectively matching your accounts.

Hello.  I was able to Verify and Rebuild.  I'm not sure if it helped.  I have already closed and reopened this file multiple times -- in addition to the at least four times it crashed today.  I used to be able to "easily categorize my downloaded transactions" but not with this new version. It's as pain the butt!  The Verify and Rebuild didn't fix anything.  For 10+ years, I've been using Quickbooks. The links to the instructions you provided are exactly the process I follow.  There is obviously a huge bug in this version.  I submitted Feedback as you suggested.  Perhaps someone will care enough to fix the issues.  By the way, my problems are limited to Downloaded Transactions.  I do not have account naming or categorizing issues in other areas of Quickbooks. But because I must download and process 100+ transactions each month, this issues a HUGE inconvenience to me.  What would have taken me 1 hour to complete in the older version took me FOUR hours today.

I have seen anomalies in the QBooks for Mac also.  When downloading Credit Card Transactions... closed out of the program.  Following time, Qbooks had added one month of transactions automatically to the register but not all of them.  Not sure how that happened.  Updated the Qbooks today hoping this won't happen again.  The matching and not matching seems to be very random in credit card transactions.

You'll want to review the matching rules in your QuickBooks. This way, you can ensure that downloaded transactions are matched correctly.

 

In case you need to set up or make changes to the set up of rules, you can have these steps as your guide:

 

  1. On the Downloaded Transactions window, download or import transactions from your financial institution.
  2. If QuickBooks recognizes a downloaded payee name that is the same as one of your vendors, it goes ahead and creates a renaming rule.
  3. Click Renaming Rules at the top of the window.
  4. On the Renaming Rules windows, click the + button at the bottom of the window.
  5. Set up your rule.
