Get rid of old time charges

I recently switched to online and I'm trying to clean up my quickbooks. I already hid my unbilled expenses but now I don't know how to get rid of unbilled time charges? Anyone know how to do this without messing up the books?

I'm here to guide you on removing the unbilled time charges, @asroberts.

 

We'll have to delete them one by one. Here's how:

 

  1. Go to Sales and select Customers.
  2. Double-click the customer that has the unbilled time charges.
  3. Look for the billable time charge transaction and click Edit.
  4. The Time Activity page will show. Click Delete.

 

Additionally, you also close your books to prevent changes to past transactions.

Get rid of old time charges

I have already closed my books for entries before 2024. This is the problem. When I try to make the time charges unbillable it wants to change my books and add it as income. I just want to delete or hide the old time charges so I can clean up my quickbooks and make old customers inactive but I can't do that when they have these unbilled time charges. (The customers have all been billed for these time charges using a different system. I didn't realize these were being entered as billable.

Since your books were already closed, deleting the billable time entries will automatically affect your financial records. If you wish to delete them, follow the steps provided by my colleague above. 

 

Then, you can proceed with these steps to inactivate your customers:

 

  1. From the Sales menu, select Customers.
  2. Click the customer's name to open their profile.
  3. Select the drop-down arrow next to Edit.
  4. Choose Make inactive. Then confirm by selecting Yes, make inactive.

 

In addition, you’re unable to delete a customer with unbilled charges if:

 

  • Track expenses and items by customer and Make expenses and items billable preferences are disabled.
  • A charge, credit, or billable expense attached to the customer you’re trying to delete has no invoice.
