Older 941 forms from 2018

Hey there, @shae robinson.

I'll share with you some info on how to view your old tax forms in QuickBooks Online (QBO).

QuickBooks automatically archived your forms as long as you e-file your payroll taxes electronically.

If you file your 2018 941 forms outside the program, you have to manually archive them save a copy for your records. Here's how:

  1. From the Taxes menu, select Payroll Tax.
  2. Click Quarterly Forms.
  3. Choose the 941 forms and select the liability period.
  4. Click Archive.

Please take note that before you can archive a form, the tax payments for the period must exactly match the liabilities.

If there's an outstanding liability, you'll need to record additional payments. If there's an overpayment, you'll need to resolve it first.

Additionally, the available liability periods only extend back for a year or two.

If you need to archive a form from an earlier period, contact our QuickBooks Payroll Support for assistance. They have the available tools that could check your account and help you in getting the form.

Moreover, you can always visit our Help Articles to know more about payroll and workers in QuickBooks Online.

Should you have any follow-up questions or concerns, don't hesitate to post again here in the Community or leave a comment on this thread. Take care and have a good one.
