Payroll on Quickbooks deskstop

I will be leaving on vacation and I will be having someone run payroll for me while I am away. Is there a way to allow them to run payroll but not have access to the employee list so they can't see the rate of pay for each employee?

Hello there, LexiDCB.

 

Let me provide information about allowing a user to run payroll in QuickBooks Desktop (QBDT).

 

If you're using QBDT Enterprise, you can easily add a user with the Payroll Processor role to run payroll without giving them access to the Employee Organizer.

 

Here's how:

 

  1. On the Company menu, click Users.
  2. Select Set Up Users and Roles.
  3. Enter the admin password, then click OK.
  4. On the User List tab, click New.
  5. Enter a username and an optional password.
  6. Select Payroll Processor in the Available Roles section, then click Add.
  7. Tap OK.

 

It's also possible to create a user in QBDT Premier with custom restrictions. By choosing the Selective Access option, you can assign certain activities for the user. However, there's no option to allow the user to run payroll without giving them access to the employee list.

 

Furthermore, you can also send your payroll in advance for up to 45 days if you're using Direct Deposit. This way, you can run payroll before vacation, and your employees receive their pay on time.
