QuickBooks Desktop E-pay Password Entry

Why doesn't QuickBooks have an easy way to go in and change the e-pay password you need to pay federal payroll tax deposits through QuickBooks?  I work with many clients as an accountant and take care of many payrolls.  Some of my clients have their own payroll subscription and do their own liability payments.  If you use e-pay through QuickBooks for federal payments, you have to change the password at least once per year.  Many of my clients don't understand that you need to do this until their payments reject.  Because they don't pay attention, their payments are often overdue by the time I discover the payment did not clear on their bank statement.  The clients don't go back and check within the QuickBooks payroll like they should.  Clients also do not understand when this happens that you also have to first go to the EFTPS website and change the password there; and then change the password in QuickBooks "on the fly" as you are making a payment.  It would be nice if one could change the password at any time versus while making the next payment because most of my clients will forget and just jump past that screen during e-pay with the dotted-out pin and password; result--another rejection!  Further, QuickBooks gives you no warning that the password is expiring until it already rejects a payment.  If you don't write down what day you changed the password somewhere, you can only guess when you last changed it.  This really needs attention as it has happened several times for a few of my clients.

QuickBooks Desktop E-pay Password Entry

Hello, @Carolyn5555.

I appreciate your desire to receive notifications when your password is about to expire. We understand your need for our assistance, but due to the strict federal regulations that QuickBooks operates under, we cannot fulfill your request.

Rest assured, our compliance with these regulations is crucial for maintaining the trust of our clients and ensuring the integrity of our services. We appreciate your understanding and look forward to the opportunity to assist you with any future needs that we can address.

Additionally, I'd like to share this helpful article to help you find out why your e-filed tax forms or e-paid tax payments were rejected and how to fix them: Handle payroll e-file and e-pay rejections.
