Can I add a user that can see reports only and not change anything in QBO plus?

The owener wants to look at QBs but he doesn't need to change anything.  Is it possible to give him user rights to see reports and that is all?

Can I add a user that can see reports only and not change anything in QBO plus?

Hi there, @knapiks.

Yes, it's possible to give permissions to a user only to view your company reports, and I'm here to guide you on how.

You'll need to add a new user to your QuickBooks Online account and manage their roles as View company reports only. Please note that this role doesn't allow viewing of your Payroll reports.

Here's how:

  1. Go to your settings or the Gear icon.
  2. Select Manage users.
  3. Click the Add user button.
  4. In the Roles section, click the drop-down menu and choose View company reports.
  5. Enter the necessary personal info for your new user.

You can also learn how to change the primary admin user in your QuickBooks Online account.

If you have other concerns besides adding a user to view company reports only in QuickBooks Online, please feel free to leave a reply below. I'm always here to assist you.

Thank you!  I didn't scroll down far enough.  Do you by any change know how to link a credit card?  The link broke and I cannot access the page to link again.  I no longer have a "banking tab".

Hello there, @knapiks.

Let me chime into this thread and perform some steps for you to get back to the Banking tab and link your credit card account successfully.

To start, you can sign out and sign back into your QuickBooks Online (QBO) account to refresh the system. You can also access your account using a private browser as it doesn't record any historical data. Use these shortcut keys on your keyboard to access:

  • Safari: Control + Option + P
  • Google Chrome: Press Ctrl + Shift + N
  • Firefox or Internet Explorer: Ctrl + Shift + P

Once done, you can now connect your credit card account. I'd be glad to show you how:

  1. In the left navigational bar, look for Transactions.
    Capturex..PNG
  2. Then, click Bank transactions.
    Capturex...PNG
  3. Select Link Account.
    Capture27...PNG
  4. Enter the URL or name of your bank in the Search field, then choose the bank.
    Capturev.v.PNG
    Capturev...PNG
  5. Enter your Sign info in the Login and Password fields, then click Continue.
  6. Select the account you want to connect and the date to pull transactions from the dropdown. Then, click Next.
  7. Select your account type on the Account type dropdown, then select Next.

Lastly, I've added an article that you can browse through for you to be able to review downloaded bank and credit card transactions: Categorize online bank transactions in QuickBooks Online.

If you still have further queries connecting your credit card accounts or anything else about QuickBooks, feel free to let me know. I'd be glad to assist you at any time. Stay safe and have a good one.

The answer was to select "view company reports." I don't see that option in the Roles drop-down menu. Has it been removed since this post, or do I just have the wrong version of QBO?

You may be using the wrong version of QuickBooks, which you didn’t find this option, Bob67. I’ll share some information on this and help you move forward.

At the moment, the View Company Report feature is only available in QuickBooks Online Plus and Advanced. It's possible that you're using a lower version of QuickBooks Online, which is why this feature isn't visible for you.

In case you want to upgrade your subscription level to have the view company reports feature, you can refer to this article: Upgrade or Downgrade Your QuickBooks Online Edition.

To learn about the different options for user roles and access permissions, you can click this link: User roles and access rights

On the other hand, you can also refer to these articles to help you track your business performance and understand the available reports in your subscription:
