Hello,
We do business as two different companies under one legal name/EIN number. We would like to set up each DBA company with it's own quickbooks account. Is it possible to have two Quickbooks accounts with the same EIN?
Good day, MCuatt1.
Although you can add multiple subscriptions under the same login, we don't recommend it if you'll be using the same EIN. Due to tax payment and filing concerns, the system will show a notification that your tax ID is associated with another active account.
You'll want to use the Class or Location Tracking feature. This will give you the ability to classify or separate the transactions for each DBA. Here's how:
Then, follow these steps on how to set up or add a location that represents each DBA:
Additional details about this feature are discussed in these articles:
After that, you can assign these classes or locations to every transaction.
You can also assign a work location to your employees. Follow the steps in this article on how to do it: Set Up and Manage Work Location in QuickBooks Online Payroll.
Lastly, let me share a couple more articles in case you need more references and guidance when using this feature:

To clarify, we technically could have two quickbooks accounts with the same EIN? I understand if could potentially create tax filing issues, however we do not file our year end taxes or process payroll through quickbooks so I don't think that would be an issue. I just want to clarify because we were told we couldn't have two accounts with the same EIN per a phone call with a QB rep, but things we have read online seem to suggest we could.
Thanks for getting back to us, @MCuatt1.
Yes, you can use the same EIN for multiple QuickBooks Online accounts (Employer Identification Number). Yet, it's essential to ensure the two are set up and used correctly.
It is typically advised to track various aspects of your business using classes or locations within a single QBO account. This enables you to maintain accurate financial reporting while monitoring various operational sectors.

Thank you! And we do currently utilize the class tracking, however we run into issue with user access across the companies since there is no way to designate which dba the user should have access to. We also are not able to have unique email address for the dba's (i.e. our outgoing invoices show up as from legalname@quickbooks rather than our dba@quickbooks . And while we can customize invoices to show only the correct dba logo and remit info, our legal name shows up when customers click to pay online. This creates confusion and customers have often stopped payment because they think it is fraud. We would love to stay with one account as recommended, but only if we could address the user access and legal name showing up.
I apprecaite you utilizing the class tracking feature to manage your business in QuickBooks Online (QBO), @MCuatt1.
At this time, the option to designate which DBA the user should have access to and have a unique email address for them isn't available.
I understand that you want to show the unique DBA's email address rather than the legal name upon sending invoices. While this option isn't available, I suggest submitting feedback directly to our product engineers. They may look into this suggestion further and consider adding the option in QBO. To submit feedback, you can go to the Gear icon and select Feedback. Then, enter your suggestion and click Submit Feedback.
You can also visit our Customer Feedback page. This will help you track the status of your product request and get the latest updates from our developers. Updates such as how the recent enhancement made to QBO helps our business owners, like you.
