Recurring Invoices for Corporate (Main) Account with Sub clients rolled up on the invoice

I have sub clients, various locations, for one main client.  Corporate location in one city that I bill all locations to, but they want the invoice to reflect charges for each location.  The invoice will be the same so I would like it to be recurring. Nothing I can find explains how to set that up other than delayed charges, which seems to me would mean I have to generate billing for each and every month.  QBO has to be able to handle a multi-location single billing account.  Help please.

I’m here to help you set up this recurring transaction, Dave.


In QuickBooks Online, you can create a new template for each location. This way, each charge will reflect on the invoice, and their payments can be tracked individually.


Here’s how:

 

  1. Go to the Gear icon.
  2. Under Lists, select Recurring Transactions.
  3. Click New.
  4. Choose Invoice in the Transaction Type, and then select OK.
  5. Enter a template name, then choose a type.
  6. Complete the remaining fields and make sure to select the location in the Location dropdown.

  7. Press Save template.


You can use this information to learn more about creating templates for recurring transactions in QBO.


And if you want to review them in one place, you can always run a Recurring Template List report to review the amounts for each and which accounts they're linked to.

There is nothing in the location field.  I created clients for each of our clients locations that were sub clients billed to parents.  Shouldn't they show under locations so I can add them?  It seems like I need to manually create locations for sub clients I already created.

 

Ex: 

 

Company XYZ 

Sub client Company XYZ of NYC 

Sub client Company XYZ of Chicago 

Sub client Company XYZ of LA 

 

The customer wants to see all the products charged to each sub client rolled up into one invoice to Company XYZ.  We invoice consistently to the same locations for the same product array, so I would like that to be a recurring invoice.  This doesn't seem that that crazy of a request.  Not sure why I can't find a clear solution to this.  Does it exist in QBO Advanced?

Let me share insights about setting up recurring invoices for a sub-customer.

 

Please be reminded, the list of customers is different from the list of locations. Let me guide you on how to create a recurring invoice:

  1. Go to the Gear icon.
  2. Select Recurring transactions under Lists.
  3. Select New.
  4. Choose the type of transaction to create, then hit OK.
  5. Enter a Template name.
  6. Choose a Type.
  7. Complete the remaining fields and hit Save.
