A refund receipt was created, check was deposited and reconciled. Later, the refund receipt got deleted, which caused check to be unreconciled. How to re-reconcile it?

Just discovered that the now "unreconciled" check had once been reconciled about a year ago, then the refund receipt got deleted for some reason about 6 months ago.

Hi there, @finance139.

I can help you with fixing your reconciled transaction in QuickBooks Online.

At this time, you can re-enter the refund receipt with the same date and amount. Then, manually reconcile it through the register.

Here's how to enter the refund check:

  1. Open your QuickBooks Online account, then click on Refund receipt from the (+) New icon.
  2. Input the details on the deleted transactions (date, amount, and others).
  3. Save the transaction.

Once done, here's how you can manually reconcile this on your register.

  1. Click on Accounting at the left pane, then select Chart of Accounts.
  2. Look for the bank account where the transaction is recorded.
  3. Tap on View register under Action.
  4. Locate the refund, then mark the check-mark column with R.
  5. Select Save.

Thank you yet this answer falls short. After I manually reconcile that one $761 check, the next time I start to reconcile the account QBO is going to tell me that the bank’s statement starting balance is different from what QBO thinks it should be by $761. Some sort of offsetting adjustment to the expected starting balance in QBO is needed. What is it?

Thanks for getting back to us, finance139. I'd be glad to share some information about what starting balance is in QuickBooks Online.

To reconcile an account accurately, the starting balance in QuickBooks Online has to match the beginning balance on your bank statement.

The starting balance when reconciling consists of all transactions marked as reconciled. It is the total amount your bank has recorded for all the transactions in your account at the beginning of the statement period.

QuickBooks Online calculates the starting balance for an account depends on whether the account has ever been reconciled before:

  • Previously-reconciled accounts: The total amount of all reconciled transactions, regardless of the date.
  • New or previously-unreconciled accounts: The account's initial balance when your QuickBooks Online beginning balance doesn't match the bank statement's, it's called a beginning balance discrepancy.

To know more about this, you can take a look at this article: Fix issues the first time you reconcile an account in QuickBooks Online. It provides a step-by-step reconciliation process as well as links to help you resolve any difference.

I'm happy to continue supporting you here, so please get back to me if you have any clarifications or need further assistance with reconciling your account in QuickBooks. I'll be sure to help you out. Have a good one.
