Can I edit a deposit in QBs online?

Good morning @john213, happy Friday!

I'm more than happy to show you how to edit a transaction that has already been deposited in QuickBooks Online.  

 

In QuickBooks Online, a payment or sales receipt that is part of a deposit can’t be edited.  To correct the payment or sales receipt you need to temporarily remove it from the deposit, edit it, then add it back to the original deposit.

 

To remove the payment or sales receipt:

  1. Choose the Gear icon> Chart of Accounts.
  2. Select View Register for the appropriate account.
  3. Locate the deposit with the incorrect payment or sales receipt listed.
  4. Note the deposit amount and whether it has a R in the Reconcile box.
  5. Click the deposit in the register and click Edit to open it.  Now you should be in the Deposits screen.
  6. Remove the checkmark from the incorrect payment or sales receipt by clicking on it.  This will remove the payment from the deposit.
  7. Click Save.
  8. Click Yes to the message, “The transaction you are editing is linked to others. Are you sure you want to modify?”

To edit the payment:

  1. Click on the deposit from the register; this will open the Deposits screen.
  2. Click the Name on the unchecked payment and it will take you to the Receive Payment or Sales Receipt screen where you can now make the correction.
  3. After you make the correction, click Save.
  4. Click Yes to the message, “The transaction you are editing is linked to others. Are you sure you want to modify?”

To replace the payment or sales receipt in the deposit:

  1. In the deposit, click on the box to the left of the Payment column of the corrected payment or sales receipt to add the checkmark. This will add the amount to the deposit.
  2. Click Save.
  3. Click Yes to the message, “The transaction you are editing is linked to others. Are you sure you want to modify?”
  4. Check to be sure that the Reconcile box in the register has an R in it or not as before.
  5. Make sure the deposit balance is correct.

Thank you for your help!  I had to delete the deposit, not edit it.  I had entered the $ amount incorrectly... so after I deleted it, I could re-enter with correct amount.

Missing options in QuickBooks Online are usually the result of outdated or corrupt cache files in your web browser. Not to worry, you can clear them in just a few easy steps.

 

We can press the F5 key on your keyboard to refresh the page. If it still doesn't show the View Register, we can do some of the basic troubleshooting steps by accessing your account in a private window.

 

  • Google Chrome: Press CTRL + Shift + N.
  • Safari: Press Command + Shift + N.
  • Mozilla Firefox: Press CTRL + Shift + P.

 

Once signed in, go back to your chart of accounts and check your register from there.
 

 

If it rectifies the issue, go back to your main portal and clear its cache to remove the browser's history or you can press CTRL+Shift and Delete key on your keyboard altogether. You may also try accessing your account using another supported browser.

Can I edit a deposit in QBs online?

I am wanting to make sure I understand.  I use QuickBooks Desktop Non Profit Premier and am struggline with QuickBooks Online Advanced.  Am I understanding I cannot Edit a Deposit Transaction with multiple entries making up that transaction without deleting it and re-entering?  There are some things that are so much easier in the desktop version.  Even just like minimizing the register, doing something else and coming back to the resister.

QuickBooks Online (QBO) allows you to edit bank deposits. You'll just need to go to the bank register and edit the deposit from there. Here's how:

 

  1. In your QBO account, click the Gear icon and select Chart of Accounts.
  2. Find the bank account where the deposit is associated. Then, click View register.
  3. Locate and select the deposit transaction and click Edit.
  4. Make the necessary changes you want and select Save and Close.

 

After making changes to a deposit, please know that this process is recorded in the system. Use the Audit log feature to learn how QuickBooks tracks the changes.

 

You may also want to view the status of your sales transactions in QuickBooks. You can go to the Sales menu and select All Sales.

Can I edit a deposit in QBs online?

Thank you.  What I was having trouble with was "adding" other entries to the deposit.  I opened the deposit, edited it and added one entry, but did not see how to acc the other entries that made up that one deposit.  This is quite easy to do with my desktop QuickBooks.

I am in exactly the same boat. Small nonprofit, want to change the income category on a donation -- can't do it without deleting the deposit.

Hello there, @FPCNS.

 

If you're referring to editing a payment or sales receipt that is part of a deposit, we're unable to do that. You'll need to temporarily exclude it from the deposit then modify and add it back to the original one.

 

To clear the payment or sales receipt:

 

  1. Choose the Gear icon and select Chart of Accounts.
  2. Select View Register for the appropriate account.
  3. Locate the deposit and take note of its reconciliation status. (for cleared or for reconciled)
  4. Click the deposit and tap the Edit button. 
  5. On the Bank Deposit screen, remove the checkmark from the incorrect payment or sales receipt. Tap Save
  6. Press Yes to the prompt message, “The transaction you are editing is linked to others. Are you sure you want to modify?

 

To edit the payment:

 

  1. In the Bank Deposit screen, select the name under the Received from column of the unchecked payment. It will take you to a page where you can change the Category.
  2. Click Save.
