Glitch in my Imported Bank Accounts--some transactions are hidden

I recently upgraded to QB online and imported my old desktop categorizations with the help of QB support.  I then logged into each of my bank accounts and linked all bank accounts, so that all transactions for the last several  years would be automatically uploaded to QB online.  

 

The problem arose when I sat down a few weeks ago to do my 2024 Income taxes (I got an extension but now only have a few weeks get the QB Reports to my CPA).  

 

I gave remote access to 4 different QB account specialists when many of my 2024 bank transactions seemed to be “hidden” to try to determine the solution to this, but ultimately, we were all stuck.

 

We did determine the following, however:

 

1) All transactions seem to have been imported from all my bank accounts to QB online, since we can see the total number of transactions for each account that was imported, but only a fraction of the transactions appear in my "Bank Transactions" list, as most are hidden somehow.  This means I can only Post a fraction of the transactions to my "Bank Register" be included in the QB Reports.

 

2) When I transitioned to the "Old QB online Version" (an option given when I login to QB online),  ALL TRANSACTIONS actually SHOWED UP in the "Bank Transactions" list for 2024, which was great, which means I could probably use this old version/format to proceed successfully with my taxes.  The only problem is that I have already catergorized many transactions on the current Online version, and since these transactions dont appear to show up on the old online version, I would have to re-categorize and re-post all already completed transactions (extra work for me). 

 

At this point, I have the following questions:

1) Might there be a "Setting" that I set incorrectly, that is perhaps hiding these bank transactions?

2) Other than switching to the older version of QB online, which I certainly might do if no other solution is found, are there any suggestions on how to rectify this, as I would like to at least use the newest Online version again in the near future for current banking?

3) Is there anything I am not considering here or any thoughts what might be going on, especially since I am new at using the QB Online version?

Hi,

 

I have a few thoughts based on your description.

 

First, QuickBooks Online has several filters in the Bank Transactions view that can hide transactions. Check the For Review / Categorized / Excluded tabs and any date filters, sometimes older transactions default to Excluded, so they don’t show up in the main list. Also, bank rules you might have set up in QBO can automatically categorize and even add transactions, which can make them invisible in For Review.

 

Second, bank data limits: QBO can behave strangely when importing very large historical datasets. You mentioned the old version shows all transactions – this often means the import worked, but the new interface hides some due to display logic or rules. One way to verify is to export bank transactions to Excel from both versions and compare counts. That confirms everything is actually there.

 

Third, if you want to stay in the new version without re-categorizing, try temporarily turning off bank rules or check the Excluded tab. Sometimes, hidden transactions are just waiting for manual approval.

 

Finally, if time is tight for your taxes, using the old QB Online version for 2024 reporting might be the safest option, then you can reconcile the new version for 2025. Long-term, after closing 2024, I’d recommend reconnecting the accounts in the new interface and testing a small date range before moving all historical transactions.

 

In my experience, the issue is rarely lost data – QBO is just hiding it due to filters, rules, or categorization conflicts. Once you address those, everything should appear.
