How can I remove incorrect direct debit transactions that posted as credits instead as debits

Client generated a direct debit payment to a contractor. Payment was received by contractor, payment deducted from his bank account, but a credit transaction for the same amount was created by QB and I cannot delete it without impacting the correct debit payment.

How can I remove incorrect direct debit transactions that posted as credits instead as debits

You have two ways to correct the wrong credit entry. Let me show you both of them.

 

To begin with, if you use payroll to process the contractor payment, you can create a Journal Entry(JE) to offset the incorrect credit without affecting the debit and re-create the transactions.

 

Here's how:

 

  1. Go to the +New button, then select Journal Entry.
  2. In the "Journal date", enter the date of the original transaction.
  3. In the first line, Debit the bank account.
  4. In the second line, Credit the account that was incorrectly credited
  5. Add a detailed memo explaining the correction
  6. Once done, click Save and close.

 

After creating the JE, here's how to re-create the correct transaction:

 

  1. Go to +New and select Expense.
  2. Enter the same date as the original transaction.
  3. Select the contractor as the payee.
  4. Enter the payment amount.
  5. Choose the appropriate expense account.
  6. Add a memo describing this as a correction.
  7. Click Save and close.

However, if this is in the bank feeds, you can exclude the incorrect transactions and upload the correct ones manually.

 

Here's how to exclude:

 

  1. Go to the Transactions menu, then select Bank transactions.
  2. In the For review tab, navigate to the incorrect transactions.
  3. Select Exclude to exclude the transactions.

 

To upload the transactions manually, here's how:

 

  1. Go to the Bank transactions menu.
  2. Select the drop-down beside the Link account, then choose Upload from a file.
  3. Select Drag and drop or select files and choose the file you downloaded from your bank. Then, hit Continue.
  4. Choose the account where you want to upload the transactions. After that, click on Continue.
  5. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks. Then tick Continue.
  6. Choose the transactions you would like to import, and then click Continue.
  7. Once done select Yes, then hit Done.
