I have a bank account which cannot be linked to QB, so I manually update it. How can I add it to my Transaction/Banking summary screen so I see the balance?

My bank does not provide electronic linking to QB for this type of account.  It is a low volume account so manual updates are minimal.  It is in my bank registry, but not showing up in my summary, or in my cash totals on my summary screen.  The balance sheet is accurately accounting for the cash.

I'm glad to see you reaching out to us here in the Community space. I can help you add the account in your Banking summary in QuickBooks Online.

 

Does your bank allow users to download statements in CSV or QBO format through their website? If yes, you can import the file into QuickBooks to trigger the system to show the account in the summary screen.

 

Here's how:

 

  1. On the left navigation bar, click Transactions.
  2. Go to the Banking tab.
  3. Press the Link account or Add account drop-down.
  4. Select Upload from file.
  5. Add the downloaded file from your bank, then hit Continue.
  6. Choose the existing account from your registry.
  7. Follow the onscreen instructions until finish.
  8. View the Banking summary.

 

If the option to download is unavailable, enter your transactions manually in Excel and save the file in CSV format. During the import process, make sure to select the existing bank account you have in the chart of accounts.

Thank you.  It worked and the bank account is now showing on my page, with one wrinkle:

The balance is showing as $0.00, where as the chart of accounts shows the bank with a positive amount.  I'll explain what I did:

  • bank account in QB was uptodate and reconciled, so I created a CSV file with two dummy and offsetting transactions.
  • Both were for the same day, $0.01 and -$0.01 so they offset
  • Successfully uploaded the CSV file, followed the rules. All went well.
  • My dummy transaction appear correctly in the chart of accounts for the bank, but balance on the Bank Transactions summary page appears $0.00

Any ideas?   Do I need to import ALL transactions for this bank, even the ones already in the QB ledger?

Welcome back to the thread, nagloc. I'll be sharing troubleshooting steps so you'll be able to manage your transactions smoothly. Then, ensure that they'll appear as balance on the Banking and Chart of accounts section.

 

The amounts displayed on the Banking page and the register section should match. Since this isn't the case, the cache files may be affecting the program's performance, causing the unexpected behavior.

 

I suggest logging in to your QuickBooks account using a private browser. This is to rule out the possibility of a webpage issue and ensure private browsing doesn't store local files or cache. Please know that importing all transactions from the bank isn't needed in the process.

 

Use these keyboard shortcuts based on the browser you're using:

 

  • For Firefox or Microsoft Edge, press Ctrl + Shift + P.
  • For Chrome, press Ctrl + Shift + N.
  • For Safari, hold down Command + Shift + N.

 

If it works in incognito, you'll need to clear the cache of your regular browser. This clears the history or log of sites so you can start with a clean slate. If the steps above didn't work, use another supported browser as an alternative.

I tried the private browser (Firefox) and used a new browser in private mode (Edge) and saw no change in balance discrepancy.  I'll read the reconciliation article and see if this helps.  Thanks.

Another option, utilize MT Online as a workaround. It is designed to import into any bank or credit card in QuickBooks Online, so there is no specific setting needed.
