Linked QBO to bank account, manually entering each transaction in, but Square deposits batches of $. How do I link the indv sales receipts to Square deposits? Doubled up.

Right now, Square shows a deposit from each day as a batch of all transactions. I'm manually entering each individual transaction as a sales receipt. This is causing my books to be doubled up. Any idea on how to match the Square batch deposit to individual sales receipts? I tried the Square app integration but it required a ton of extra work matching clients and products, and didn't seem to work when trying to match the Square input transactions with the batch Square deposits, so I ended up disconnecting from the app. Right now the only thing I can think to do is to delete the Square batch deposit that's being transferred from my bank but I don't want to mess it up too badly. Any help would be appreciated!

Hello there, @3rd.

 

When you link your Square account to QuickBooks Online, deposits from Square will appear in the banking transactions tab of QBO. There's no need for you to delete the batch transactions on your bank page; what you can do is match the deposits to the sales receipt you created to avoid duplicates with your entries.

 

Here's how: 

 

  1. Go to Bank Transactions.
  2. Select the deposit transaction you want to match.
  3. Beside the Categorize button, select Find match.
  4. Match transactions page will prompt, then select the sales receipt transaction found.
  5. Click Save, then hit Match.

Consider having a 3rd party connector app to reconcile Square transactions into QBO.

I have multiple bank transactions that I would like to link to one Sales Receipt. Can you please advise. When I created the Sales receipts it doubled up the money in my account instead on linking it to old transactions

At the moment, QuickBooks Online (QBO) does not support linking multiple transactions to a single sales receipt. However, you can match numerous sales receipts to a single bank transaction. Here's how to do it:

 

  1. Go to Bank transactions.
  2. Click the transaction you want to match to your existing sales receipts.
  3. Tick Match and the system will automatically search for matches on your transaction records.
  4. Select the sales receipt/s found.
  5. At the bottom right corner, hit Match.

 

To prevent duplicating your income in the account and as a temporary solution, you can exclude these transactions by following these steps:

 

  1. Go to Bank transactions.
  2. Under your desired account, put a checkmark for the chosen money in transaction/s.
  3. Click Exclude.

 

This will ensure that they're not included as part of your income.
